Job summary

OEG Energy Group is seeking a Travel and Training Coordinator to support travel, logistics and training for personnel across onshore and offshore projects. You will manage bookings, keep accurate records and ensure compliance, while providing a responsive service to stakeholders.

Based in Portsmouth with flexibility for other Topside locations, this role requires strong IT skills, attention to detail and the ability to coordinate multi-faceted schedules.

Qualifications

  • Previous experience in administration, travel, logistics or personnel coordination within a busy operational environment.
  • Experience coordinating bookings, records, renewals or compliance requirements.
  • Good IT skills, including Microsoft Word and Excel, with the ability to maintain accurate systems and records.

Responsibilities

  • Coordinate company and project travel requirements for onshore and offshore personnel.
  • Book flights, accommodation, hire cars, taxis, trains, ferries and other required transport.
  • Provide clear itineraries and booking updates, supporting personnel with travel queries, changes and disruption.
  • Support visa and work permit requirements where required.
  • Coordinate mandatory, refresher and additional training for employees and contractors.
  • Liaise with training providers regarding availability, course requirements, registrations and completion information.
  • Monitor training requirements, expiry dates and compliance using training matrices and company systems.
  • Arrange renewals, issue reminders, and follow up on outstanding training and e-learning requirements.
  • Maintain training certificates, supporting evidence and associated personnel compliance records.
  • Track requirements including contractor insurance, medicals and Chester Step appointments where applicable.
  • Maintain accurate information to support project and business compliance reporting.
  • Keep up to date with relevant processes, procedures and regulatory requirements.
  • Support wider administration as required and escalation workload, service or operational risks promptly.

Location
  • Portsmouth, United Kingdom - preferred location, with flexibility to consider other OEG Topside locations (Chester, Hunmanby, Lowestoft or Grimsby).
Core Purpose
  • Support the effective delivery of travel, logistics and training arrangements for employees and contractors, helping to maintain operational readiness across company and project activities.
  • Manage bookings, records and compliance requirements, deliver a responsive service to personnel and stakeholders, support cost-effective operations, and identify and escape operational or service-related risks as required.
Key Responsibilities and Accountabilities

Travel and Logistics Operations:

Operational Support and Administration:

  • Act as the primary point of contact for travel and training enquiries, providing clear, timely and professional support by telephone and email.
  • Liaise with travel agents, training providers, project managers and other stakeholders to coordinate requirements, availability and costs.
  • Check project rotas before booking training and coordinate any associated travel and accommodation.
  • Ensure arrangements meet company and project requirements while supporting cost-effective delivery.
  • Maintain accurate travel, training, booking and compliance records in line with company processes.
  • Keep up to date with relevant processes, procedures and regulatory requirements.
  • Support wider administration as required and escalation workload, service or operational risks promptly.
QHSE Responsibilities

To have a general understanding of the areas of our QHSE Management System and OEG’s QHSE aims and objectives that are relevant to the role.

Comply with the requirements of OEG Energy Group Policies and the responsibilities within the wider QHSE Management System.

Skills and Experience

Essential:

  • Previous experience in administration, travel, training, logistics or personnel coordination within a busy operational environment.
  • Experience coordinating bookings, records, renewals or compliance requirements.
  • Good IT skills, including Microsoft Word and Excel, with the ability to maintain accurate systems and records.
  • Strong communication, planning and organisational skills with good attention to detail.
  • Confident and professional when dealing with internal and external stakeholders.

Desirable:

  • Experience supporting offshore, project-based or time-critical travel and training requirements.
  • Familiarity with finance systems for purchase orders and card expenditure.
  • Experience using e-learning, training provider or personnel compliance systems.
Qualifications

Essential:

  • GCSE Maths and English (Grade C/Level 2 or above), or equivalent.
  • Full UK driving licence.
