Accounts Office Administrator

Full Job Description

We are seeking a Transport Accounts Office Administrator to join our client's team based at Heathrow Airport. You will support the busy transport staff by providing comprehensive assistance with transport administration and accounts duties.

Transport Administrator Duties

  1. Raising recharge invoices as required.
  2. Raising invoices weekly and monthly to meet group deadlines.
  3. Managing purchase orders, raising and sending them to relevant clients or suppliers.
  4. Handling payroll duties, including checking and calculating staff hours and overtime, managing staff expense claims, and uploading data to the shared drive.
  5. Processing customer invoices, ensuring they are checked and approved using the in-house system.
  6. Monitoring and chasing documentation to support transport operations.
  7. Answering and responding to incoming calls.
  8. Ordering office stationery and raising PO processes for these orders.
  9. Ensuring all inbound/outbound paperwork is completed promptly and accurately.
  10. Undertaking administrative and record-keeping duties to meet the needs of the Transport Department.
  11. Supporting the logistics team as required.

Transport Administrator Requirements

  • Legal right to work in the UK.
  • DBS check required due to working within freight logistics.
  • Five years of checkable work history with no more than 28 days employment gap.
  • Excellent computer literacy, including Microsoft Office, Word, and Excel.
  • Previous administrative experience.
  • Good numeric skills with a focus on accuracy.
  • Strong verbal and written communication skills.
  • Analytical and numeracy skills.
  • Enthusiastic and energetic personality.
  • Ability to work independently and demonstrate organizational skills.
  • Full training will be provided.
