Job summary

Gregory Distribution Ltd. in Haverfordwest is seeking a temporary Transport Administrator to support transport operations and handle financial, compliance, and administrative processes.

The role runs Monday to Friday from 09:30 to 14:30, providing holiday cover as needed in a fast-paced logistics environment. The successful candidate will assist with invoicing, driver communications, and KPI reporting while keeping accurate records and ensuring health and safety compliance.

Qualifications

  • Previous experience in the Transport & Logistics industry is desirable.
  • Excellent attention to detail and ability to manage multiple tasks effectively.
  • Proficient in Microsoft Office applications, particularly Excel and Outlook.
  • Strong communication skills, both written and verbal.
  • Ability to work independently and collaboratively within a team.

Responsibilities

  • Build strong customer relationships and support smooth operational delivery.
  • Coordinate fleet maintenance schedules for the West Wales Milk operation.
  • Respond promptly to customer and driver queries via phone, email, and face-to-face.
  • Work closely with transport teams and internal departments to support daily operations.
  • Manage invoicing, supplier payments, reconciliations, purchase orders, and other administration tasks.
  • Maintain transport records, including D600s, compliance documents, and driver files.
  • Monitor driver hours, Working Time Directive compliance, and pre/post-check completion.
  • Support audits, DTAS compliance, and Health & Safety KPI monitoring.
  • Produce and analyse operational reports, KPIs, and performance data.
  • Arrange driver assessments, CPC training, and Driver Development Days.
  • Communicate with drivers regarding dispatch, debriefs, and operational updates.
  • Use internal and external systems, including Manpack, to support performance and compliance.
  • Support depot administration, including time and attendance, documentation, stock, uniforms, and equipment.
  • Maintain effective communication with customers, suppliers, drivers, and colleagues.
  • Track outstanding actions to ensure timely completion and resolution.
  • Work effectively in a fast-paced environment with a proactive and detail-focused approach.
  • Provide holiday and absence cover across the team as required.
