Job description

Role: L&D Compliance Administrator

Location: Kettering

Salary: £27,000 per annum + Corporate Benefits Package

Reporting Line: Reports directly to the L&D Regulatory Management

About the Business

William Stobart & Son is a premier, high-velocity national logistics leader operating across multiple depots. To support our rapid expansion and ongoing growth plans we are hiring a highly disciplined administrator to join our core team.

Following our expansion, we are establishing a brand-new, Group L&D Department. The successful candidate will work closely alongside the Group Director to actively build the department, engineer new operational structures, and scale our administrative footprint as the team expands over the coming months.

The Core Mission

To operate as the central data and compliance gatekeeper for the William Stobart & Son group L&D department. This is a critical role responsible for auditing driver compliance, managing the digital system, tracking statutory training matrixes and ensuring the group maintains a bulletproof audit readiness for any external audits.

Key Accountabilities & Day-to-Day Work Outputs
  • Departmental Team Scaling: Partnering closely with the Group Director to establish, test, and document our central L&D structures as the team expands.
  • Master Diary Coordination: Scheduling and managing our centralised training calendars, ensuring courses are optimally populated.
  • Depot & Client Liaison: Coordinating directly with regional transport desks to identify compliance tracking, ensuring staff are booked onto refresher modules well ahead of credential expiry dates.
  • Course Logistics & Event Management: Organising classroom materials, invigilating formal examinations, managing student files, and coordinating group catering/lunch provisions on site.
  • Statutory Portal Maintenance: Maintaining our data integrity across external regulatory portals including the Scottish Qualifications Authority (SQA) and JAUPT.
  • Registry Uploads: Taking administrative ownership of post-course metrics, ensuring completed Driver CPC hours and technical safety modules are uploaded instantly to protect the group's licences.
  • B2B Commercial Support: Managing incoming external delegate bookings for income-generating courses (e.g., ADR packages). Verifying that deposits and invoices are cleared before releasing formal joining instructions.
  • Team Versatility: Adhering to our core operational principle that "no job is too small", supporting document creation, answering inbound lines, and assisting the management heads during rollout weeks.
Mandatory Candidate Requirements
  • Attention to Detail: Accuracy in data handling with a zero-tolerance approach to trailing errors.
  • IT Competency: Advanced proficiency across the Microsoft Office 365 matrix (specifically shared Outlook calendars, detailed Word formatting, and active Excel tracking).
  • Communication Skills: Superior professional written and verbal English skills to confidently liaise with external regulatory bodies and corporate clients.
  • Education Level: Minimum of 5x GCSEs Grade C/4 or equivalent (including English & Maths).

All applicants must have an unrestricted right to work in the UK as our client will not support visa sponsorship for this role.
