Temporary Invoice Query Specialist

Are you highly analytical, detail-oriented and confident investigating invoice discrepancies?

We're looking for an organised and proactive Invoice Query Specialist to manage invoice disputes, investigate billing discrepancies and ensure queries are resolved accurately and efficiently.

This is an excellent opportunity for someone with experience in finance, billing, credit control or accounts receivable who enjoys problem-solving, working with data and improving processes. You'll work closely with customers and internal teams, using Salesforce and Excel to manage queries, maintain accurate records and identify opportunities to prevent recurring issues.

You'll also have the opportunity to contribute to the development of AI-assisted query resolution tools, helping to shape more efficient ways of working.

Key Responsibilities

• Manage the invoice query inbox, investigating and resolving disputes within agreed timeframes.

• Cross-reference invoices against order records, pricing agreements, delivery data and account history using Salesforce.

• Raise credit notes with clear explanations and a complete audit trail.

• Build and maintain Excel trackers, monitoring query status, age, value and outcomes, and producing regular reports for Finance and Credit Control.

• Identify recurring billing errors and work with internal teams to address root causes.

• Support Credit Control by providing timely updates and ensuring legitimate open queries are not unnecessarily escalated to collections.

• Liaise professionally with customers and internal stakeholders to obtain information and resolve queries promptly.

• Support the testing and development of AI-assisted tools to improve the accuracy and efficiency of query resolution.

What We're Looking For

• Strong Excel skills, including building trackers, cross-referencing data and producing reports from scratch.

• Excellent attention to detail and confidence working with invoices, billing information and order records.

• A proactive, investigative approach with the ability to manage a high volume of cases independently and prioritise effectively.

• Experience using Salesforce or a similar CRM system.

• A background in finance, billing, credit control, accounts receivable or a data-focused role.

• An understanding of invoice queries, credit notes and dispute resolution processes.

• Familiarity with AI tools and prompt writing, with an interest in using technology to improve processes.
