Northern Care Alliance NHS Foundation Trust is seeking a dedicated Support Secretary to join the Community Paediatric Service. You will support Consultants and health professionals, providing confidential admin, audio typing, and minute-taking to ensure efficient service delivery.

The role requires excellent audio typing, strong MS Office skills, and a proactive, team-oriented approach. NHS experience is preferred, with flexible, organised work practices to support a busy team.

Qualifications

  • Proven audio typing and secretarial skills.
  • Experience in an NHS setting preferred.
  • Strong MS Office skills and computer literacy.
  • Excellent communication and teamwork abilities.
  • Self-motivated with good time management.

Responsabilités

  • Provide confidential administrative support to Consultants and health professionals.
  • Type and format correspondence, clinical letters, reports and policies.
  • Attend meetings and take minutes; circulate to staff.
  • Book team training and maintain training records.
  • Cover reception duties when required.
  • Maintain organised electronic and manual filing and information storage.

Description du poste

We are seeking a highly motivated and enthusiastic Support Secretary who can provide excellent secretarial and administration skills to join our dedicated Secretarial Team within the Community Paediatric Service.

The role involves supporting a team of Consultants and other health professionals. You should have excellent audio typing skills and experience (preferably within an NHS setting) and be computer literate with a broad experience of Microsoft Office packages. You will need to be highly organised with a flexible approach to your work and have excellent communication and team working skills. You will need to be self-motivated to manage your own working time effectively.

To provide professional, comprehensive and confidential administrative support to the relevant health professionals and their team.

This includes typing and formatting of correspondence, clinical
letters, reports and policies from handwritten, dictated, paper, or electronic information in line with Trust corporate guidelines.

To work collaboratively with other administrative colleagues and

support staff.

Audio-typing, copy typing and formatting of clinical letters and reports where follow up actions as required.

appropriate; meeting timescales as directed by your line manager.

To take minutes of meetings, type and distribute to all members of staff

Word processing, which may include letter, memos, notes, record cards, messages and email communication.

Collate, provide, receive and appropriately store (manually and electronically) sensitive and confidential information,

Maintain administrative systems set up in team offices to ensure an organised and efficient working environment for staff.

Responsible for assisting with the booking of team training and responsible for maintaining local training records

Undertake reception duties if required.

To attend meetings, training and briefing sessions appropriate to either your job specific role or, as a staff member of the Trust.
