Job summary

Northern Care Alliance NHS Foundation Trust is seeking a highly motivated Support Secretary to join the Community Paediatric Service and provide excellent secretarial and administrative support to Consultants and health professionals.

You should have excellent audiotyping skills, be proficient in Microsoft Office, highly organised, and capable of taking minutes, managing correspondence, and handling confidential information. The role includes reception duties and maintaining training records.

Qualifications

  • Strong secretarial and administration capabilities.
  • Proficient in Microsoft Office and respectful of confidentiality.

The roleinvolves supportinga team ofConsultantsand other health professionals.You should have excellentaudiotyping skillsand experience (preferably within an NHS setting)and be computer literatewith a broad experience of Microsoft Office packages.You will need to behighlyorganised witha flexible approach to yourwork and have excellent communicationand team working skills.You will need to beself-motivated to manage your ownworking time effectively.

To provide professional, comprehensive and confidential administrative support to the relevant health professionals and their team.

This includes typing and formatting of correspondence, clinical

letters, reports and policies from handwritten, dictated, paper, or electronic information in line with Trust corporate guidelines.

To work collaboratively with other administrative colleagues and

support staff.

Audio-typing, copy typing and formatting of clinical letters and reports where follow up actions as required.

To take minutes of meetings, type and distribute to all members of staff

Word processing, which may include letter, memos, notes, record cards, messages and email communication.

Collate, provide, receive and appropriately store (manually and electronically) sensitive and confidential information,

Maintain administrative systems set up in team offices to ensure an organised and efficient working environment for staff.

Responsible for assisting with the booking of team training and responsible for maintaining local training records

Undertake reception duties if required.

To attend meetings, training and briefing sessions appropriate to either your job specific role or, as a staff member of the Trust.
