Job description

Studio Manager

Zak Group is hiring a Studio Manager. At Zak Group the Studio Manager will work with people, institutions and brands guiding the trajectory of contemporary culture. We are seeking an organized, proactive and resourceful Studio Manager to coordinate the day-to-day operations of our creative office.

Reporting directly to Zak Group’s Director, you will own and manage internal workflows, and liaise between internal and external teams. This pivotal role ensures the seamless execution of projects, maintains a productive and inspiring work environment and provides support to the Creative Director and the team. The Studio Manager will facilitate projects across multiple disciplines, act as a central point of communication and help drive the delivery of exceptional creative work.

This is a full-time position in-house at the Zak Group office in London. Applicants must be eligible to work in the UK.

RESPONSIBILITIES

  • Track and monitor project progress, including time tracking and resource allocation.
  • Utilize project management tools to coordinate teams, allocate tasks and optimize workflows.
  • Manage incoming files and ensure proper organization and accessibility.
  • Plan and facilitate meetings, including preparing agendas, hosting, taking minutes and following up on action items.
  • Process and pay approved invoices.
  • Maintain a well-organized and efficient office environment, including supplies, resources and studio infrastructure.
  • Coordinate with IT to address technical needs and resolve issues.
  • Act as the front-of-house contact, managing incoming calls and correspondence.
  • Organize and maintain physical and digital archives, ensuring project materials are cataloged and accessible.
  • Manage project photography and collate process and press documentation.
  • Manage media communications such as newsletters, press releases and social media content.
  • Provide executive assistance to the Creative Director, including calendar management, travel arrangements and email correspondence.
  • Prepare presentations, case studies and reports for internal and external use.

EXPERIENCE & KNOWLEDGE

  • 3+ years experience in a similar role within a fast-paced creative/commercial environment.
  • Exceptional administrative and organizational skills.
  • A natural multitasker with outstanding problem-solving abilities.
  • Thrives in dynamic environments, showing adaptability, foresight and a proactive mindset.
  • Demonstrated expertise in managing creative workflows, including project management, studio operations and communications.
  • Strong interpersonal and communication skills, adept at fostering relationships and collaboration across teams.
  • Meticulous attention to detail.
  • Resilient under pressure, maintaining composure and focus in challenging situations.
  • Confident decision-maker who is able to address and escalate issues when necessary.
  • A drive to improve processes and optimize ways of working for greater efficiency.
  • Proficiency in Google Workspace, Figma Slides and workflow management tools.
