7N Architects are an award-winning Edinburgh-based practice focused on placemaking and creating places with lasting value. We seek a proactive Studio Administrator to support a growing team of 16, reporting to the Practice Manager.

The role covers studio operations, HR administration, and health & safety coordination in a collaborative, employee-owned environment. The position is full-time (37 hours, Mon-Thu 9:00–17:30, Fri 9:00–17:00) with a salary of £26,000–£28,000, 33 days annual leave,

Qualifications

Responsibilities

  • Provide day-to-day administrative support to the studio and maintain a well-organised environment.
  • Manage the studio diary, travel bookings and general clerical tasks.
  • Welcome visitors and act as first point of contact for clients and suppliers.
  • Coordinate meeting room diary and arrange spaces for meetings.
  • Order office supplies and studio essentials.
  • Handle mail, deliveries and couriers; support studio events and activities.
  • Arrange maintenance, repairs and compliance checks as required.
  • Assist with staff training records and accreditation administration (RIBA Chartered Practice, ISO, etc.).

The practice works across a broad range of sectors, collaborating closely with clients, communities and project teams to create well-considered places that are both practical and inspiring.

We are an employee-owned business which values collaboration, creativity and making a meaningful contribution to the places in which we live and work. We are looking for an organised, proactive and friendly Studio Administrator to join our team. This is a varied role ensuring the day-to-day operations of the studio environment whilst supporting our growing architectural team of 16 persons. Reporting to the Practice Manager, you'll play a key role in creating a positive studio environment.

Generally
  • The role is primarily to provide administrative support and to manage the studio environment.
  • The job is varied in nature and requires a level of initiative, flexibility and adaptability.
  • Provide day-to-day administrative support to the studio, including printing, travel bookings and general clerical tasks.
  • Welcome visitors and be the first point of contact for clients, consultants and suppliers.
  • Answer and direct telephone enquiries in a professional, friendly and efficient manner.
  • Manage the meeting room diary and prepare meeting spaces for internal and external meetings.
  • Order office supplies, groceries, catering and other studio essentials.
  • Coordinate incoming and outgoing mail, deliveries and couriers.
  • Support the planning and organisation of studio events and team activities.
  • Arrange maintenance and repairs for the studio premises as required.
  • Help coordinate staff training and maintain training records.
  • Support the administration of practice accreditations, including RIBA Chartered Practice, ISO standards and other quality management systems.
HR Administration
  • Support the administration of annual leave, sickness and other statutory leave.
  • Help keep studio policies and documentation up to date in line with current legislation.
  • Assist with recruitment activities, onboarding and induction for new team members.
Health & Safety
  • Support the First Aiders and Fire Wardens by coordinating training, qualifications and appropriate cover.
  • Help organise fire drills, safety checks and other compliance activities.
  • Maintain Health & Safety records and ensure statutory inspections and checks are completed on schedule.

Desirable, but optional skills
  • Experience working in a supporting administrative role in architecture, urban planning, or design fields, or an interest in these sectors.
  • Experience with InDesign and/or Photoshop graphic software, or an interest in developing these skills.
  • Experience of financial administration such as invoicing, payroll and/or Xero Accounts, or an interest in developing these skills.
