The Ellison Scholars Programme, established by the Ellison Institute of Technology (EIT) in partnership with the University of Oxford, is a fully funded scholarship initiative aimed at nurturing future global technology innovators and leaders. Each year, the programme selects approximately twenty exceptional candidates worldwide who are passionate about addressing humanity's most pressing challenges.

The Ellison Scholars Programme is recruiting an experienced Coordinator to facilitate the onboarding of students onto projects and into teams at the Ellison Institute of Technology and then provide ongoing support as the students work on EIT programmes and projects. This role will be part of the Scholars Support team and will be responsible for coordinating the interactions between students and pre-doctoral employees, such as those enrolled in the EIT CDT in Fundamentals of AI, and the Ellison Institute of Technology, as well as with relevant stakeholders at the University.

Key Responsibilities:

  • Ensure all preparations are made and requirements met (for example, relating to IP and research consumables) ahead of a student working on any EIT project or programme.
  • Establish a firm understanding of the University-EIT agreements to ensure that processes are established according to those agreements, that EIT staff are clear on requirements and that the processes are always followed.
  • Coordinate the interaction between the CDT students, relevant University stakeholders and EIT, managing their involvement through their rotations around different teams and lab groups, where those rotations or placements are to take place at EIT.
  • Build a strong relationship with the CDT Management Team and students, acting as their first point of contact at EIT for EIT research projects and research opportunities. Provide additional support to the Management Team as appropriate and necessary.
  • Ensure all EIT-funded or paid students and pre-doctoral employees have what they need to contribute meaningfully and materially to the work at EIT (including physical resources and key information).
  • Work with the Programme Director and Scholar Support Manager to liaise and build strong working relationships with the EIT research team leads and staff on processes and placements to ensure everyone is aligned and that the placements happen seamlessly and with good notice.
  • Ensure that CDT students are integrated into the wider cohort of EIT-funded students and are able to connect and engage with the other students.
  • Connect students paid or funded EIT with appropriate resources, coordinating their access to EIT facilities, programming and development opportunities.
  • Support the Ellison Scholars Programme Director and COO of the Ellison Institute of Technology with any preparation and actions relating to governance and committee meetings for the CDT.
  • Build a strong relationship with key stakeholders at the University of Oxford, staying abreast of any matters arising at the University that may affect EIT-funded/paid students.
  • Work closely with the University to ensure that all relevant permissions are granted, and any necessary checks are completed, to allow the CDT students’ involvement with EIT.
  • Support the broader Ellison Scholars team, as required.

Requirements

Essential Knowledge, Skills and Experience:

  • Strong verbal and written communication with exceptional interpersonal skills with the ability to understand communication nuances across different stakeholder groups.
  • Highly organised and coherent.
  • An ability to digest complicated information and distil into simpler instructions to people of all levels and seniority, including Senior Leadership teams at EIT and at Oxford University.
  • Ability to balance and manage multiple varied projects in a fast-paced environment, staying on top of deadlines and deliverables.
  • Reliable, resourceful, and detail-oriented with an agile mindset.
  • Ability to be the go-to person regarding coordination of the programme for multiple stakeholder groups.
  • High level of cultural understanding; being able to work with people from various backgrounds and levels of hierarchy.
  • Collaborative working style, with an ability to suggest new ideas, evaluate and self reflect to ensure optimal programme coordination.
  • Ability to exercise empathy, understanding and elements of pastoral care with the scholars cohort.
  • Proficient in MS Office software, CRM / database management and reporting and be quick to learn new technologies.

Desirable Knowledge, Skills and Experience:

  • Experience working in a start-up environment with adaptable skills to accommodate a range of duties.
  • Good understanding of the University of Oxford.
  • Experience working and communicating with students and/or young people.
  • Experience working with international students / young people.

Salary: £35,000 - £45,000 (dependent on experience) plus travel allowance and bonus

Terms of Appointment:

You must have the right to work permanently in the UK with a willingness to travel as necessary.

You will live in, or within easy commuting distance of, Oxford. This role requires you to work in the office a minimum of 3 days per week 2 of which must be a Tuesday and a Thursday.

During peak periods, some longer hours may be required and some working across multiple time zones due to the global nature of the programme.
