Job summary

Pinnacle Group is seeking an experienced Soft Services Manager to lead our Total Facilities Management division across seven school sites in North Swindon. You will oversee delivery of soft services, manage budgets, recruitment and training, and drive performance and health and safety compliance.

The ideal candidate has a track record in FM soft services, strong financial control, auditing and risk assessment skills, and the ability to improve service quality while maintaining client

Qualifications

  • Experience leading soft FM services (cleaning, grounds, catering, maintenance).
  • Knowledge of health & safety regulations and industry best practice.
  • Strong budgeting, financial control and reporting skills.
  • Experience managing multi-site contracts and dispersed teams.

Responsibilities

  • Conduct audits, inspections and risk assessments to maintain high standards.
  • Ensure services meet contract specs, KPIs and safety plans.
  • Lead on-site teams, oversee recruitment, onboarding, training and rosters.
  • Provide supervision to facilities managers, caretakers and cleaning staff.
  • Manage subcontractors to ensure quality and safe practices.
  • Liaise with stakeholders and keep clients informed on performance.
  • Monitor contract budget to stay within approved limits.
  • Ensure compliance with health, safety and environmental legislation.
  • Respond to incidents and drive corrective actions.
  • Drive continuous improvement in service delivery.

Pinnacle Group are looking for an experienced Soft Services Manager to join our Total Facilities Management division. You will be responsible for ensuring all soft services are delivered across seven school sites based in North Swindon to a consistently high standard, on time and within budget, while leading an experience FM team, managing recruitment and training, monitoring performance, managing budgets and ensuring full health and safety compliance. Building strong relationships with clients and key stakeholders will be key to maintaining service quality and driving operational excellence.

The ideal candidate will have proven experience managing soft services contracts within the facilities management sector, with a strong focus on service quality and client satisfaction. You will demonstrate effective financial control, strong analytical and reporting skills, and the ability to conduct audits, inspections and risk assessments while driving continuous improvement. Key responsibilities:

  • Conduct regular audits, inspections and risk assessments to maintain high operational standards.
  • Ensure all services meet contract specifications, KPIs and site-specific Health & Safety plans.
  • Lead, manage and support on-site teams, including overseeing recruitment, onboarding, training, rota planning and performance management.
  • Provide day to day supervision and motivation to Facilities managers, caretakers, and cleaning team, ensuring consistent service delivery across all sites.
  • Manage subcontractors, ensuring compliance, quality standards and safe working practices for catering, grounds and pest control.
  • Carry out site walkabouts and liaise with key stakeholders.
  • Assist in managing and monitoring the contract budget to ensure expenditure stays within agreed limits.
  • Ensure full compliance with health, safety and environmental legislation across all operations.
  • Respond to incidents, hazards and service issues promptly and implement corrective actions.
  • Drive continuous improvement initiatives to enhance service delivery and customer satisfaction.

Key requirements:

  • Proven experience managing soft FM services, specifically cleaning, property maintenance, catering and grounds maintenance.
  • Strong people-management experience, including leading dispersed teams, supervising frontline staff, setting performance standards and supporting development.
  • Experience managing contracts of £1m or above, with strong commercial and operational oversight.
  • Strong budget management skills, including exposure to full profit and loss accountability.
  • Solid knowledge of health & safety regulations, compliance standards and industry best practice.
  • Cleared Enhanced DBS
  • IOSH Managing Safely (or equivalent) is advantageous.
