Job summary

Highview Power is seeking a Site Administrator to provide administrative, document control and commercial support on a construction project in the United Kingdom. The role focuses on maintaining accurate site records, supporting contract administration, health and safety documentation, and timely, controlled information flow.

Responsibilities include managing site documents, daily reports, RAMS and toolbox records, procurement support, cost record checks and NEC communications.

Qualifications

  • Previous experience in a site administration, document control, project administration or commercial support role within construction, infrastructure, engineering or utilities.
  • Good understanding of site records, document control processes and construction project administration.
  • Awareness of contract administration processes, including early warnings, compensation events, instructions, programmes and communications.
  • Strong organisational skills with the ability to maintain accurate records and work to deadlines.
  • Confident user of Microsoft Office and project document management systems.
  • Good written and verbal communication skills, with the ability to liaise professionally with site teams, subcontractors, suppliers and client representatives.
  • High attention to detail, discretion when handling commercial information, and a proactive approach to supporting the site team.

Responsibilities

  • Site records and document control: Maintain site records in accordance with the project document management procedure, ensuring drawings, correspondence, registers, permits, instructions, records and controlled documents are filed, updated and readily available to the project team.
  • Daily reports and site returns: Prepare, issue and maintain daily site reports, including attendance, labour, plant, staff returns, visitors, deliveries, weather records, progress notes and other records required to support project reporting and Defined Cost substantiation.
  • Health, safety and compliance administration: Support the site team by maintaining safety audit records, RAMS registers, toolbox talk records, site inductions, training records, competence records, inspection records and PPE issue records.
  • Procurement and purchase order support: Process purchase requisitions and purchase orders, track approvals, maintain procurement records, support goods receipting and liaise with suppliers, subcontractors and internal teams to resolve administrative queries.
  • Commercial and cost records: Assist the commercial team by collating, reviewing and checking contractor cost records, plant and labour returns, delivery notes, timesheets, daywork records and supporting evidence required under the NEC contract.
  • NEC contract administration support: Support the Project Manager, Site Manager and commercial team with the administration of NEC communications, including maintaining registers for early warnings, compensation events, instructions, programme submissions, notifications, correspondence and action trackers.

Key Responsibilities
