Wolviston Management Services is seeking a proactive Shipping Coordinator to join the Shipping and Commercial teams in Middlesbrough. You will support vessel movements, documentation and customer relationships in a busy port and logistics environment.

The role focuses on coordinating schedules, maintaining records (Destin8) and ensuring accurate invoicing, with opportunities to grow in a hands-on, customer-focused team.

The Opportunity
Wolviston Management Services are pleased to be supporting our client in the recruitment of an organised and proactive Shipping Coordinator to join their established Shipping and Commercial team.

This is an excellent opportunity to join a busy and dynamic port and logistics environment, playing a key role in supporting shipping operations, vessel movements, customer relationships and commercial administration.

The successful candidate will work closely with internal departments, shipping agents and customers to ensure the smooth coordination of vessel information, accurate maintenance of shipping and customs documentation, and the timely processing of commercial activities.

We are keen to hear from individuals who have excellent organisational skills, strong attention to detail and a customer-focused approach, with the ability to manage multiple priorities within a fast-paced operational environment.

The Role

As Shipping Coordinator, you will provide essential administrative and operational support across the Shipping and Commercial teams, ensuring vessel activities, customs records and customer requirements are managed accurately and efficiently.

You will also play an important role in supporting commercial processes, ensuring chargeable services are correctly recorded, purchase orders are obtained and invoices are raised promptly.

Key responsibilities will include:

• Supporting the day-to-day activities of the Shipping and Commercial teams, ensuring effective communication across the business.
• Coordinating and distributing vessel schedules, shipping updates and operational information.
• Maintaining accurate shipping and customs records using Destin8 and other relevant systems.
• Supporting customs clearance processes and ensuring cargo movements comply with relevant regulations.
• Recording vessel movements, cargo information, operational activities and associated costs.
• Reviewing vessel documentation, ship logs, purchase orders and charge descriptions to support accurate invoicing.
• Monitoring chargeable services, obtaining customer approvals and ensuring timely cost recovery.
• Liaising with customers and shipping agents regarding vessel arrivals, departures and operational requirements.
• Supporting the creation of new customer accounts, including credit checks and system updates.
• Responding to customer enquiries professionally and efficiently, ensuring a consistently high standard of service.
• Maintaining accurate records and supporting documentation in line with company procedures.
• Providing out-of-hours shipping desk support when required.

About You

We are looking for a motivated and detail-oriented individual who enjoys working in a varied operational environment and takes pride in delivering excellent customer service.

• Previous experience in shipping, logistics, port operations, customs administration or a similar commercial support role.
• Strong organisational and administrative skills with excellent attention to detail.
• Confident communication skills and the ability to build effective relationships with customers, colleagues and external stakeholders.
• Good IT skills and experience using operational or commercial systems.
• The ability to manage competing priorities and work effectively under pressure.
• Experience maintaining accurate records, processing documentation and supporting invoicing activities.
• A proactive and solutions-focused approach to resolving queries and following up outstanding actions.
• The ability to work both independently and as part of a wider team.

Desirable experience

• Knowledge of Destin8 or similar port and shipping systems.
• Understanding of customs clearance procedures and cargo documentation.
• Experience working with vessel movements, shipping agents or port operations.
• Familiarity with purchase orders, customer accounts and invoicing processes.
