Key Responsibilities
- Support the Sales team in preparing and issuing quotations, budget proposals and tender submissions.
- Maintain accurate customer, quotation and opportunity records within CRM and MRP systems.
- Process customer orders, issuing acknowledgements and confirmations while ensuring delivery requirements and shipping details are communicated clearly.
- Act as a primary point of contact for customers, providing updates on quotations, orders, lead times and delivery schedules.
- Build strong customer relationships through proactive communication and excellent service.
- Coordinate with internal departments including Sales, Planning, Production, Purchasing, Warehouse, Service and Finance to ensure customer requirements are met.
- Manage customer returns, warranty claims and repair requests, ensuring efficient resolution.
- Prepare commercial invoices, packing lists and other documentation required for UK and international shipments.
- Arrange domestic and export shipments through approved logistics providers, couriers and freight forwarders.
- Support customs and export administration, maintaining accurate records of commodity codes, country of origin information and shipping documentation.
- Monitor shipments, obtain freight quotations and help resolve delivery, freight or customs-related issues.
- Review shipping documentation and freight invoices to ensure accuracy and compliance.
- Maintain organised, audit‑ready sales, shipping and customs records.
- Develop effective relationships with logistics partners and external organisations, including the Chamber of Commerce.
- Identify and support improvements to customer service, operational efficiency, delivery performance and freight cost management.
Knowledge, Skills & Experience
- Previous experience in sales administration, customer service, logistics, export administration, or a similar coordination role, ideally within a manufacturing or engineering environment.
- Confident using CRM, ERP, or MRP systems, with good working knowledge of Microsoft Office applications.
- Excellent organisational and communication skills, with the ability to manage multiple tasks, prioritise effectively, and maintain a high level of accuracy.
- A proactive and customer‑focused approach, with the ability to build positive relationships both internally and externally.
- Knowledge of import/export processes, customs documentation, Incoterms, and international freight would be advantageous.
