Job summary

Arc Recruitment is seeking an organised Rota & Staff Engagement Coordinator to join a growing organisation supporting children and young people through specialist programmes in Halifax. The role combines workforce planning, rota management and staff engagement, with responsibility for scheduling, safeguarding compliance and building strong relationships with managers and frontline staff.

You will use a digital rota system, produce advance rotas and provide workforce reports to optimise service

Responsibilities

  • Manage workforce scheduling using a digital rota system.
  • Produce and maintain staff rotas in advance.
  • Ensure staffing levels meet safeguarding and ops needs.
  • Monitor capacity and anticipate future staffing.
  • Coordinate cover for sickness, leave and emergencies.
  • Advertise shifts and encourage early uptake.
  • Build relationships with managers and frontline staff.
  • Serve as main point of contact for rota queries.
  • Maintain staff records, training and availability.
  • Produce rota/workforce reports.
  • Identify opportunities to improve workforce planning.
  • Collaborate with internal teams to ensure service delivery.

Job description

We're looking for an organised and proactive Rota & Staff Engagement Coordinator to join a growing organisation supporting children and young people through specialist programmes.

This is a varied role combining workforce planning, rota management and staff engagement. You'll take ownership of scheduling, ensuring services are fully staffed while building positive relationships with colleagues across the organisation.

Key Responsibilities
  • Manage workforce scheduling using a digital rota system.
  • Produce and maintain staff rotas well in advance.
  • Ensure staffing levels meet operational and safeguarding requirements.
  • Monitor workforce capacity and identify future staffing needs.
  • Coordinate cover for sickness, annual leave and emergency absences.
  • Advertise available shifts and encourage early uptake.
  • Build strong relationships with operational managers and frontline staff.
  • Act as the main point of contact for rota-related queries.
  • Maintain accurate staff records, training and availability.
  • Produce rota and workforce reports.
  • Identify opportunities to improve workforce planning and efficiency.
  • Work collaboratively with internal teams to ensure excellent service delivery.
About You
  • Previous experience managing staff rotas or workforce scheduling.
  • Excellent organisational and planning skills.
  • Strong communication and relationship-building abilities.
  • Able to prioritise multiple tasks and work to deadlines.
  • Confident using Microsoft Office and digital scheduling systems.
  • High attention to detail and strong problem-solving skills.
  • A proactive, positive and team-focused approach.
Desirable
  • Experience within education, childcare, health, social care or community services.
  • Experience coordinating casual or sessional staff.
  • Knowledge of workforce planning and safeguarding requirements.
