Job summary

Regen Solutions in Royal Tunbridge Wells is seeking a Repairs Scheduler to join a busy repairs and maintenance operation. You will schedule and coordinate repair works, allocating the right operative or subcontractor, and manage appointments to meet contractual timescales.

The role focuses on maximising productivity, improving first-time fixes and delivering high-quality customer service. You will work with operational Managers, Supervisors and operatives to ensure efficient service delivery.

Qualifications

• Previous experience in a planning or scheduling role.
• Strong organisational and time-management skills.
• Confident using Microsoft Excel, Word and Outlook.
• Excellent verbal and written communication skills.
• Ability to work effectively as part of a team and independently.
• Ability to manage multiple priorities and meet deadlines.
• Strong attention to detail and accuracy when maintaining records and scheduling works.
• A proactive approach to problem-solving and service delivery.
• Customer-focused attitude with a commitment to delivering a high-quality service.

Responsibilities

• Schedule and plan repair works, allocating the appropriate trade and resource to each job.
• Ensure appointment slots are suitable and planned efficiently by geographical area.
• Ensure all new works orders are scheduled promptly.
• Monitor appointments and workforce diaries to ensure scheduled visits are completed.
• Maintain accurate system records, including completions and contractor details.
• Identify and report appointment delays and issues to management.
• Monitor workflows and follow-on works to stay within WIP targets.
• Produce and communicate WIP information and KPIs.
• Collaborate with Supervisors and Managers to optimise productivity and service delivery.
• Coordinate appointments involving multiple trades or subcontractors.
• Review operative diaries and ensure works are ready, considering materials and dependencies.
• Support delivery of first-time fixes wherever possible.
• Carry out daily checks and provide feedback on conduct and PDA usage.
