Job summary

The Greenbank Project in Liverpool is seeking a friendly receptionist and administrator to support college operations, greet visitors, answer calls and handle enquiries.

You will provide data entry, manage post and filing, support attendance records and exam processes, and assist the management with GDPR compliance and safety procedures.

This role requires flexibility across sites and a proactive, customer-focused mindset to help attract and retain students.

Qualifications

Responsibilities

  • Deliver reception and office administration support for the college.

  • Perform clerical duties including data entry, typing and filing.
  • Handle incoming/outgoing post and maintain post security.
  • Implement security controls and monitor safety procedures.
  • Maintain a clean, safe environment and support evacuation procedures.
  • Greet students and visitors and direct them as needed.
  • Answer telephone enquiries and direct calls to appropriate personnel.
  • Sort mail daily and support exam board registrations/entries.
  • Assist with exam paper handling and storage; liaise with exam boards.

Job Purpose
  • To deliver college reception, and administration support.
Key Responsibilities

To deliver reception and office administration support, including supporting the SLT.

  • Deliver friendly, efficient and effective customer service with the key aim of retaining and attracting new students.
  • Deal with all enquiries in a professional and courteous manner, in person, on the telephone and via email.
  • Provide administrative support and manage supplementary student administration systems, files, records and student attendance details.
  • Perform general clerical duties including data entry, typing, filing and other clerical support as required.
  • Responsible for the handling and security of incoming and outgoing post.
  • Implement access and security controls and procedures.
  • Responsible for maintaining a clean, tidy and safe environment.
  • Responsible for carrying out other duties assigned by Management.
  • Undertake a variety of tasks whilst complying with GDPR and data protection rules.
  • Responsible for greeting students and visitors and dealing with their enquiries.
  • Responsible for answering all telephone enquiries, determine purpose of calls and forward calls to appropriate personnel or department
  • Take and deliver messages or transfer messages to voicemail if appropriate personnel are unavailable.
  • Ensure reception is a secure and safe environment for staff, students and visitors in keeping with the organisation’s safety and security procedures.
  • Management and maintenance of the Student ID Card system and inventory items.
  • Management of curriculum, enrolment, registration, timetabling and attendance information.
  • Provide administrative support for Greenbank’s taxi service booking system.
  • Receive sort and route mail on a daily basis.
  • Supervise work experience students issuing guidance and advice when required.
  • Report any maintenance issues immediately Maintenance manager, including all furniture, fittings and equipment.
  • Implement security controls, e.g. monitor CCTV footage, manage difficult situations and if necessary report suspicious behavior.
  • Play a key role in evacuation procedures, ensuring the safety of staff, students and visitors.
  • Be involved in and contribute at team meetings.
  • Support for the absenteeism systems including liaising with tutors and contacting student/families.
  • Registration of students with their respective exam boards such as City & Guilds and Pearson/ Edexcel.
  • Arrange for exam entries for GCSE Mathematics, English, and Functional Skills.
  • Manage safe storage for examination papers.
  • Claim for certification for Functional Skills.
  • Forward exam papers to exam boards and liaising with Parcel Force.
