Job summary

The Bedford College Group seeks an Assistant Administrator - Residential to join the Safeguarding department at Shuttleworth, Old Warden. You will support Residential Operations, coordinate student arrivals/departures, room allocations, inductions and contract records, while maintaining accurate databases and reporting to management.

Experience with MS Office, strong communication and a detail‑oriented approach are essential.

Qualifications

  • Good GCSEs including English and Maths; experience with MS Office (Word, Excel, Outlook).
  • Strong record-keeping and attention to detail.
  • Confident written and verbal communication; customer-focused approach to inquiries.
  • Willingness to learn, adapt to changing requirements, and solve problems.
  • Reliable, punctual and able to work both independently and in a team.

Responsibilities

  • Residential Operations Support: days-to-day running of halls, arrivals/departures, room allocations, inductions and contract administration.
  • Student Welfare & Resident Engagement: act as first point of contact for residents, support wellbeing initiatives, community engagement and escalation of welfare concerns.
  • Accommodation, Facilities & Compliance: coordinate maintenance requests, liaise with contractors and inspect accommodation for safety and upkeep.
  • Administration & Reporting: maintain records and databases, organise meetings, produce management information and reports.
  • Safeguarding, EDI & Professional Standards: promote safeguarding, equality, diversity and health & safety compliance, participate in training.

Salary is between £23,557 and £26,754 per annum (Pro-Rata) DOE and Qualifications, 27 days annual leave (Pro- Rata) plus Bank holidays,People's Pension, Retail and Leisure Discounts, excellent professional and personal development opportunities, accessing college courses.

About the role

We are currently seeking an Assistant Administrator - Residential to join our Safeguarding department at The Bedford College Group.

  • Residential Operations Support - Assist with the day-to-day running of halls of residence, including student arrivals and departures, room allocations, inductions, accommodation records, and contract administration.
  • Student Welfare & Resident Engagement - Act as a key point of contact for residential students, providing guidance, supporting wellbeing initiatives, building community engagement, and escalating welfare concerns appropriately through systems such as CPOMS.
  • Accommodation, Facilities & Compliance - Coordinate maintenance requests, liaise with contractors and facilities teams, monitor repairs, and conduct routine accommodation inspections to ensure a safe and well-maintained living environment.
  • Administration & Reporting - Maintain departmental records and databases, organise meetings and documentation, produce management information and reports, and support the delivery of student events and awareness campaigns.
  • Safeguarding, EDI & Professional Standards - Promote safeguarding, equality, diversity and inclusion, and health and safety compliance, while representing residential services at key college events and participating in ongoing training and development.
About you
  • Education & IT Proficiency - Good GCSE foundation including English and Maths, with experience using Microsoft Office applications such as Word, Excel and Outlook.
  • Administrative Accuracy & Attention to Detail - Strong focus on maintaining accurate records, producing high-quality work, and ensuring attention to detail in all tasks.
  • Communication & Customer Service Skills - Confident written and verbal communicator with a customer-focused approach to managing internal and external enquiries professionally.
  • Adaptability & Problem Solving - Willingness to learn new processes, adapt to changing requirements, and take a proactive approach to identifying and resolving issues.
  • Professionalism & Teamwork - Reliable, punctual and positive, with the ability to work independently while contributing effectively as part of a wider team.
