Job summary

Notre Dame Catholic Sixth Form College is seeking an ambitious, committed administrator to support all aspects of the College's day-to-day examinations service. The role involves coordinating exam entries, timetables and invigilation under JCQ rules, and providing proactive support to staff and students in a collaborative environment.

Responsibilities

  • Assist Examinations Manager with the annual exam schedule and provide admin support.
  • Work with the exams team to organise external/internal exam series.
  • Ensure JCQ guidelines and awarding body requirements are followed.
  • Liaise with examination boards, staff and students for smooth exam operations.
  • Prepare timetables, seating plans and invigilation logistics.
  • Handle examination materials securely and accurately.
  • Assist with results day administration and data returns to bodies.
  • Answer enquiries professionally and maintain records.

You must be a clear communicator, have an inquisitive mind and be able to develop good working relationships with colleagues. You will be supporting all aspects of the College's day-to-day exams service and as such will work with all cross-college staff. You should be pro‑active with a commitment to providing the highest quality service for our staff and students. It is vitally important for the efficient running of the College that the post holder maintains an excellent record of attendance and punctuality, is able to work as a member of a team, is flexible and is able to work under their own initiative. Key Duties and Responsibilities: This list is not exhaustive, and you will be expected to perform different tasks as necessitated by the manager which are relevant to your role within the College to meet the overall College business needs:

  • To assist the Examinations Manager in accordance with the annual College examinations schedule. To provide proactive and responsive administrative support to contribute to the successful, secure and professional delivery of an exemplary examinations service within the College.
  • To work effectively with the Exams Manager and the exams team.
  • To assist with the organising/overseeing of external and internal examination series, including the entry, delivery, support of invigilators and data analysis.
  • To ensure that guidelines and procedures laid down by examination boards and the Joint Council for Qualifications (JCQ) are rigorously adhered to.
  • To liaise with examination boards.
  • To liaise with staff and students to ensure the smooth running and administration of all examinations.
  • To ensure the secure handling, storage and distribution of examination/assessment materials in accordance with awarding body regulations.
  • To compile internal examination timetables, invigilation timetables and seating plans.
  • To disseminate and collect information from/to college staff concerning internal and external examinations.
  • To assist with exam room preparation including documentation folders, screens, posters, banners, mobile phone storage etc.
  • To assist with distribution to, and receiving back from, invigilators examination papers and associated materials as required
  • To invigilate when required.
  • To check and despatch examination scripts to the awarding body.
  • To assist with the preparation of A level and GCSE results and assist on both Results Day (this will require attendance in College on results days and the preceding and following days).
  • To assist with the administration of the examination certificates delivered to the college and support the certificate collection process
  • To compile, check and amend data for returns to the DFE and other bodies.
  • To answer the phone and deal professionally with enquiries both internally and externally.
General
  • To have regard to the principles and values expressed in the College's Mission Statement.
  • To demonstrate a commitment to promoting and safeguarding the welfare of children and young persons in line with College policy.
  • To have full regard for the College's Equality and Diversity and Health and Safety requirements.
  • Be aware of and adhere to all College policies and procedures, including Financial Regulations.
  • To take responsibility for continuing personal and professional development and to keep abreast of all relevant legislation in order to facilitate all aspects of the post.

  • To participate in appraisal arrangements, as and when required.
  • Be professional and maintain high standards of ethics and behaviour, within and outside College.
  • Maintain confidentiality.
  • To undertake other duties and responsibilities commensurate with the nature of the post, and as may be requested by the Principal.
