Receptionist and Administrator

12-month Fixed Term Contract – 40 hours per week

Role Overview

You will ensure all reception and administrative activities at the Bupa centre are carried out efficiently and effectively. Besides administrative tasks, you will greet customers warmly, making them feel at ease and comfortable. You will excel in delivering outstanding customer service to adults and children, even under challenging circumstances.

Key Responsibilities include:

  • Greeting and supporting customers throughout their visit, from arrival to checkout.
  • Handling incoming queries via phone and email, managing the local mailbox proactively.
  • Maintaining a clean and professional reception area.
  • Preparing appointment packs, clinical files, and consent forms.
  • Managing results, including scanning, uploading, and following up with suppliers to meet SLAs.
  • Updating customer details, managing appointments, and rescheduling as needed.
  • Processing payments, invoices, and charges upon customer departure.
  • Ensuring quick document turnaround, working in date order to meet deadlines.
  • Assisting with bookings for mammograms and MSK referrals, if applicable.
  • Handling incoming and outgoing mail efficiently.
  • Generating business correspondence as required.
  • Monitoring stock levels and ordering supplies when necessary.
  • Processing invoices and delivery notes per company policy.

Required Skills and Qualifications:

  • Experience in healthcare administration.
  • Strong customer service skills and a customer-focused approach.
  • Proficiency in MS Office applications.
  • Excellent communication skills, both written and verbal.
  • Strong organizational and time management abilities.
  • Teamwork skills and ability to collaborate effectively.
  • Proactive attitude and willingness to learn.
  • Knowledge of medical terminology (desirable).
