Receptionist and Administrator

Bupa Bristol Clinic BS1 3LG

12-month Fixed Term Contract – 40 hours per week

Role Overview

You will ensure all reception and administrative activities in the Bupa centre are carried out efficiently and effectively. Alongside administrative tasks, you will meet and greet customers, making them feel at ease and comfortable. You will thrive on delivering exceptional customer service to adults and children, even under challenging circumstances.

You’ll help us make health happen by:

  • Greeting and welcoming customers, supporting their journey throughout the centre, up to thorough checkout.
  • Answering, screening, and forwarding incoming customer queries via phone calls, proactively managing the local mailbox and emails.
  • Maintaining a well-presented reception and waiting areas.
  • Ensuring customers have the correct paperwork for their visit, including appointment packs, clinical file preparation, and consent forms.
  • Managing results effectively, including receiving, scanning, uploading, and following up with suppliers to ensure turnaround within the SLA.
  • Updating customer details, managing arrivals, and handling appointment bookings, changes, and rescheduling.
  • Processing payments, invoices, charges, and credit notes upon customer departure.
  • Organising documents to ensure quick turnaround, working in date order and prioritising deadlines.
  • Assisting with bookings of mammograms and MSK referrals where applicable.
  • Handling incoming and outgoing post, including collecting, opening, dating, and distributing.
  • Generating letters as required.
  • Monitoring stocks and ordering goods when necessary.
  • Processing invoices and delivery notes following Bupa policies.

Key Skills / Qualifications needed for this role:

  • Experience in administration within a healthcare environment.
  • Customer service experience with a strong customer focus.
  • Proficiency in MS Office packages.
  • Excellent interpersonal, written, and verbal communication skills.
  • Strong organisation and time management skills.
  • Attention to detail.
  • Teamwork skills and ability to collaborate effectively.
  • Proactive attitude and willingness to learn.
  • Knowledge of Medical Terminology (desirable).
