Job summary

Brantridge School is seeking a reliable Receptionist/Administrator to support the School Office Manager and ensure smooth daily operations. You will handle front desk duties, answer calls, manage letters and emails, and maintain filing and stationery stock with a proactive approach.

The role requires GCSEs in English and Maths, competence in Microsoft Office, and experience in a school office or admin environment.

Qualifications

  • GCSEs in English and Maths are required.
  • Experience of working in a school office environment is preferred.
  • Experience in administration and Microsoft Office.
  • Ability to work as part of a team and support colleagues.

Responsibilities

  • Receive all visitors, callers and inquiries; greet courteously and efficiently.
  • Answer and transfer telephone calls; take and pass on messages.
  • Respond to emails and route messages; make outgoing calls as needed.
  • Keep reception area tidy and ensure forms are updated and replenished.
  • Monitor main entrance and reception area.
  • Ensure visitors sign in and passes issued with child protection reference.
  • Communicate with parents via email and telephone.
  • Provide refreshments as appropriate to visitors.
  • Support equal opportunities and inclusive practices.
  • Produce letters, reports, flyers and notices as required.
  • Monitor school email and forward inquiries as needed.
  • Open and distribute incoming mail.
  • Distribute outgoing letters, newsletters and leaflets.
  • Photocopy and file school correspondence; perform general admin duties.

Job description

We are seeking an efficient, confidential andcomprehensive Receptionist / Administrator to assist the School Office Manager,to ensure the smooth and efficient running of the school office. Under the management of the School Office Manager,you will be responsible for the day-to-day organisation and administration ofthe school office and it’s procedures. Delivering the support and service in aproactive, thorough, methodical, and creative manner and offering aprofessional and reliable hub for the school.

Key Responsibilities:
  • Receive all visitors, callers and inquiries, dealcourteously and efficiently with all visitors, parents, local authorityofficials, medical officers, suppliers etc.
  • To deal effectively with telephone calls, transferringcallers to relevant staff and taking and passing on messages when required
  • Receive all incoming calls and emails to the school,responding, and routing/taking messages. Obtain or make outgoing calls asrequested
  • To ensure the reception area remains tidy, and thatliterature and forms are updated and replenished as necessary
  • To monitor main entrance and reception area
  • To ensure visitors, agency staff and contractors sign in,issuing passes to visitors with reference to the school’s child protectionpolicy
  • Communicate and contact parents using email and telephone
  • Responsible for the provisions and providing refreshmentsas appropriate to visitors
  • To be aware and support the school’s (OHCAT) commitment toequal opportunities. To ensure a commitment to equal opportunities in as allaspects of practice
  • Produce letters, reports, flyers and notices etc asrequired
  • To monitor the school email account, responding toenquiries or forwarding messages to the correct recipient as required
  • To open and distribute incoming mail
  • Distribution of outgoing letters, newsletters, leaflets etc
  • Duplicating/photocopying of school correspondence, filingand any other administrative tasks in the primary school office as directed
  • Responsible for the provisions and providing refreshmentsas appropriate to visitors
  • Stamp and post outgoing mail
  • Keep all filing up to date
  • Any other generaladmin duties
Key Requirements:
  • GCSEs (or equivalent) in English and Maths atGrade C/4 or above.
  • Experience of working in a school officeenvironment.
  • Experience of administration and Microsoftoffice.
  • Experience of working collaboratively as partof a team.
