Job summary

Southampton City Council is seeking a Receptionist/Admin Assistant to join the busy school office. You will be the first friendly face for children, parents, staff and visitors, delivering a warm, professional and efficient service while supporting day-to-day office operations.

The role requires strong administration, IT skills (Word/Excel), and the ability to handle multiple priorities in a busy environment. Experience with SIMS/Tucasi is desirable and safeguarding awareness is essential.

Qualifications

  • Sound understanding of administration and practical experience in admin processes.
  • Excellent written and verbal communication with a wide range of people.
  • Warm, welcoming and professional with children, parents, colleagues and visitors.
  • Excellent IT skills including Word and Excel.
  • Ability to manage competing priorities and work under pressure.
  • Safeguarding and confidentiality are essential in a school environment.
  • Holds a First Aid qualification or is willing to undertake training.
  • Experience using SIMS and Tucasi or willingness to learn.
  • Maintains confidentiality at all times.

We are proud to serve a culturally rich and diverse learning community. We are looking to appoint an additional Receptionist/Admin Assistant to join our friendly and hardworking business team. Duties will include a wide range of reception and administrative tasks where no two days are the same.

As a key member of our school office team, you will be the first friendly and welcoming face that our children, parents, staff and visitors see. We are looking for someone who can provide a warm, professional and efficient service while ensuring the smooth day-to-day running of our busy school office.

We are looking for someone who:
  • Has a sound understanding of administration and practical experience of administrative processes.
  • Has excellent written and verbal communication skills and is confident communicating with a wide range of people.
  • Is warm, welcoming and professional when dealing with children, parents, colleagues and visitors, both face-to-face and over the telephone.
  • Has excellent organisational and IT skills, including experience using Microsoft Word and Excel.
  • Is able to manage competing and conflicting priorities, work under pressure and use their own initiative.
  • Can work effectively in an environment where interruptions and unexpected situations are part of everyday life.
  • Is able to maintain a high level of accuracy and concentration when completing detailed work.
  • Understands the importance of safeguarding and confidentiality within a school environment.
  • Is a reliable and positive team player with a flexible approach to their work.
  • Holds a First Aid qualification, or is willing to undertake training.
  • Has experience of using SIMS and Tucasi, or is willing to learn.
  • Understands and respects the importance of maintaining confidentiality at all times.

Working hours:

Monday to Friday 12.30pm to 16.30pm
