Job summary

Hemlock Stone School in Stapleford, Nottinghamshire, is seeking a Receptionist & Administrative Assistant who will be the first point of contact for pupils, families and visitors. You will manage reception, handle calls and emails, support safeguarding and contribute to daily admin to keep the school running smoothly.

We require GCSE Maths and English at grade 4 or above, at least three years’ office experience, and strong IT skills (Word, Excel, Outlook, PowerPoint).

Job description

At Hemlock Stone School, we provide a nurturing and supportive environment for children and young people with autism and complex needs. We believe every interaction matters, and as our Receptionist & Administrative Assistant, you'll play a vital role in creating a positive first impression for pupils, families, visitors and professionals alike. This is much more than a reception role. You'll be at the heart of our school community, helping to ensure the smooth day-to-day running of the school while supporting our staff team to deliver exceptional outcomes for our pupils. As the first point of contact for the school, you'll provide a professional, friendly and efficient reception and administrative service. From welcoming visitors and managing enquiries to supporting key school processes, you'll help create an organised, safe and welcoming environment where pupils can thrive.

What you'll be doing:
  • Welcoming visitors, parents, professionals and contractors to the school.
  • Managing reception activities, telephone calls, emails and enquiries.
  • Supporting visitor sign-in processes and ensuring safeguarding procedures are followed.
  • Maintaining school diaries, calendars and administrative systems.
  • Preparing correspondence, documents and reports.
  • Supporting attendance processes, including absence follow-up calls.
  • Assisting with data entry, filing, photocopying and general office administration.
  • Managing incoming and outgoing post, deliveries and stationery supplies.
  • Supporting the Office Manager and wider school team with administrative tasks.
  • Helping maintain an organised, professional and welcoming reception environment.
  • We're looking for a personable, organised and proactive administrator who enjoys working with people and takes pride in delivering excellent customer service.
  • GCSE Maths and English Grade 4 or above required
  • At least three years' experience working within an office environment.
  • Strong IT skills, including Microsoft Word, Excel, Outlook and PowerPoint.
  • The ability to remain calm and professional when handling sensitive or challenging enquiries.
  • Strong organisational skills with the ability to prioritise competing tasks.
  • A professional, welcoming and customer-focused approach.
  • The ability to maintain confidentiality and handle sensitive information appropriately.
  • Empathy and understanding for children and young people with additional needs.
  • Hemlock Stone School in Stapleford, Nottinghamshire opened in March 2026, and caters for up to 66 pupils, providing a specialist learning environment for young people with Autism Spectrum Conditions (ASC) and Complex Needs.
