Job summary

CVS Vets is seeking a Veterinary Receptionist for Nine Mile Veterinary Hospital in Wokingham. This full‑time, permanent position offers a 41.25‑hour week with two shift blocks and one in four Saturdays.

You will handle calls, appointments, client greetings, and payments, while supporting the team with a warm, empathetic approach. Prior veterinary experience is a bonus but not required, and full training will be provided.

Qualifications

• Previous experience in customer service is a must; experience in a veterinary setting is a bonus.
• Strong communication skills and empathy when dealing with clients.

Responsibilities

• Manage incoming calls and schedule appointments.
• Respond to queries via phone, email, and in-person interactions with professionalism.
• Greet clients and book appointments, ensuring a warm welcome.
• Assist with medication distribution as required.
• Process payments accurately and efficiently.
• Provide empathy to clients during distressing times while maintaining professionalism.
• Organise patients using the in-house system.
• Liaise with veterinary practices to address patient needs.

Role Details: Full Time Receptionist

Location: Nine Mile Veterinary Hospital, Wokingham

Contract: Permanent

Hours: 41.25hrs a week

Shift Pattern: Monday to Friday shifts of either 8-4.30 or 10.30-7 and 1 in 4 Saturdays working 8-1

About the Role:

• Manage Communication: Handle incoming calls and schedule appointments efficiently
• Inquiries Resolution: Respond to queries via phone, email, and in-person interactions with professionalism
• Client Reception: Greet and book in appointments, ensuring a warm welcome
• Medication Distribution: Dispense medications as required
• Financial Transactions: Process payments accurately and efficiently
• Emotional Support: Provide empathy and understanding to clients during distressing times, while maintaining professionalism
• System Utilisation: Organise patients using the in-house system efficiently
• Inter-practice Communication: Liaise with veterinary practices to address patient needs and queries
• Debt and Refund Management: Make necessary phone calls regarding debts, belongings, and refunds
• Client Care: Above all, ensure that every client feels welcomed and valued at our practice

Who We're Looking For:

• Previous experience in customer service is a must; experience in a veterinary setting is a bonus!
• Resilience and the ability to handle emotional situations with grace
• Strong communication skills paired with genuine empathy
• Outstanding customer service skills and experience with the public
• Positive attitude and superior teamwork abilities
• Proficiency in Microsoft Office and database systems
