Job summary

CVS Vets is seeking a Veterinary Receptionist for Nine Mile Veterinary Hospital in Wokingham. You will handle calls, book appointments, greet clients, and support the team in a fast-paced environment.

Ideal candidates will have customer-service experience, empathy, and proficiency with office software. This is a full-time, permanent role with consistent shifts and occasional Saturdays.

Qualifications

• Previous customer service experience is essential; veterinary setting is a bonus.
• Proficient with Microsoft Office and basic database systems.
• Strong communication skills with genuine empathy for clients.

Responsibilities

• Manage incoming calls and schedule appointments efficiently.
• Respond to queries via phone, email and in person with professionalism.
• Greet clients warmly and book in appointments.
• Dispense medications as required.
• Process payments accurately and maintain records.
• Provide empathetic support to clients while staying professional.
• Organise patients using the in-house system and coordinate with clinics.
• Liaise with other practices to address patient needs and queries.
• Call to discuss debts, belongings and refunds when necessary.
• Ensure every client feels welcomed and valued at the practice.

Role Details: Full Time Receptionist

Location: Nine Mile Veterinary Hospital, Wokingham

Contract: Permanent

Hours: 41.25hrs a week

Shift Pattern: Monday to Friday shifts of either 8-4.30 or 10.30-7 and 1 in 4 Saturdays working 8-1

About the Role:

• Manage Communication: Handle incoming calls and schedule appointments efficiently
• Inquiries Resolution: Respond to queries via phone, email, and in-person interactions with professionalism
• Client Reception: Greet and book in appointments, ensuring a warm welcome
• Medication Distribution: Dispense medications as required
• Financial Transactions: Process payments accurately and efficiently
• Emotional Support: Provide empathy and understanding to clients during distressing times, while maintaining professionalism
• System Utilisation: Organise patients using the in-house system efficiently
• Inter-practice Communication: Liaise with veterinary practices to address patient needs and queries
• Debt and Refund Management: Make necessary phone calls regarding debts, belongings, and refunds
• Client Care: Above all, ensure that every client feels welcomed and valued at our practice

Who We're Looking For:

• Previous experience in customer service is a must; experience in a veterinary setting is a bonus!
• Resilience and the ability to handle emotional situations with grace
• Strong communication skills paired with genuine empathy
• Outstanding customer service skills and experience with the public
• Positive attitude and superior teamwork abilities
• Proficiency in Microsoft Office and database systems
