Job summary

CVS Veterinary Group's Bracken Veterinary Practice in Bracknell is seeking a Veterinary Receptionist to join our busy front desk.

You will manage calls, book appointments, greet clients, process payments, and support the veterinary team while providing empathetic service.

This part-time, permanent role offers 16 hours weekly with a 3-day pattern and one in four Saturdays; training and staff discounts apply.

Qualifications

• Previous experience as a receptionist is essential; veterinary setting is a bonus.
• Excellent communication and empathy when interacting with clients.
• Proficiency with Microsoft Office and practice management software.

Responsibilities

• Handle incoming calls and schedule appointments efficiently.
• Respond to queries via phone, email, and in person with professionalism.
• Greet and register new clients and ensure a warm welcome.
• Process insurance forms and payments accurately.
• Distribute medications as needed and assist the veterinary team.
• Maintain organised patient records using the in-house system.
• Liaise with other practices to address patient needs.
• Manage debt and refunds via phone and administration.

We're on the lookout for a dynamic and passionate animal enthusiast to step into the role of a Veterinary Receptionist at our Bracken Veterinary Practice.

Location: Bracken Vets

Contract: Permanent

Hours: 16hrs

Shift Pattern: 3 days per week these being pre-determined and to work 1 in 4 Saturdays 8am to 1pm. Rota'd with one nurse, one vet and a PCA.

Based in Bracknell within walking distance of the town centre and with good transport links, we are a busy first opinion practice with a large team, offering routine appointments and surgery, x-rays' ultrasounds, dentistry and more.

With 7 vets, 4 nurses, 2 PCA's, 5 receptionists and our Practice Manager, there is no shortage of friendly faces within Bracken.

About the Role:

• Manage Communication: Handle incoming calls and schedule appointments efficiently
• Inquiries Resolution: Respond to queries via phone, email, and in-person interactions with professionalism
• Client Reception: Greet and register new clients, ensuring a warm welcome
• Insurance Management: Process and manage insurance forms adeptly
• Medication Distribution: Dispense medications as required
• Financial Transactions: Process payments accurately and efficiently
• Emotional Support: Provide empathy and understanding to clients during distressing times, while maintaining professionalism
• System Utilisation: Organise patients using the in-house system efficiently
• Inter-practice Communication: Liaise with veterinary practices to address patient needs and queries
• Debt and Refund Management: Make necessary phone calls regarding debts, belongings, and refunds
• Client Care: Above all, ensure that every client feels welcomed and valued at our practice

Who We're Looking For:

• Previous experience as a Receptionist is a must; experience in a veterinary setting is a bonus!
• Resilience and the ability to handle emotional situations with grace
• Strong communication skills paired with genuine empathy
• Outstanding customer service skills and experience with the public
• Positive attitude and superior teamwork abilities
• Proficiency in Microsoft Office and database systems
