We’re looking for a Property Administrator to join us on our journey of true nourishment.
Purpose
The Property Administrator will provide efficient and accurate administrative support, assisting the property team across estates, construction, acquisitions, and facilities.
Responsibilities
- Provide proactive, efficient, and effective property administration support to department heads as required.
- Input information into and maintain up-to-date databases and trackers used by the property team.
- Manage invoices, including processing them via the internal finance system and handling queries from finance and external parties.
- Maintain accurate records and filing systems.
- Assist the design team with filing, organizing, and maintaining a photo archive for new sites and refurbishments.
- Coordinate property access and inspections for landlords, external consultants, contractors, and project managers.
- Manage the empty property contract, including arranging access requests, approving invoices, and acting on weekly property reports.
- Oversee the property PO/CPN system, working with finance and suppliers to ensure functionality and policy compliance.
- Issue property change forms and update the property change tracker.
- Provide general administrative support for projects such as new restaurant openings and refurbishments.
- Prepare and distribute agendas and minutes for property meetings.
- Coordinate the signing process for legal documents.
- Manage invoices and debts for sublet properties.
- Respond to property information requests, including lease details, drawings, and project timelines.
- Manage inventory for storage locations.
Requirements
- Ability to work independently with confidence to support department heads and the property team.
- Excellent time management and organizational skills.
- Proficiency in Excel, PowerPoint, and Word.
- Previous experience in property management is preferable.
