Job summary

Five at Heart Ltd in London is seeking a proactive Project & Operations Coordinator to support the delivery of construction projects across the UK. You will work closely with the Head of Delivery to keep programs, procurement, and documentation on track.

This role suits a highly organised communicator who can manage multiple priorities in a fast-paced environment, coordinate suppliers, raise purchase orders in ERP, and maintain compliance and records.

• Experience in project coordination, operations, or administration.
• Construction, fit-out, or project delivery experience would be an advantage.
• Highly organised with strong attention to detail.

Responsibilities

• Supporting the coordination of multiple live projects across the UK.
• Managing project documentation, trackers, schedules and technical submissions.
• Logging, tracking and following up on RFIs between design teams, clients and contractors.
• Raising and tracking purchase orders through the ERP system.
• Coordinating supplier orders, deliveries and site logistics, including booking haulage/transport for collections and deliveries.
• Coordinating material and finish sample requests, approvals and dispatch.

Project & Operations Coordinator / London / £35,000 & Great Benefits

Are you a Project and Operations Coordinator with experience in either Construction or Fit-out? Are you looking to join a Fast-Moving Project Delivery Team? Then this could be the role for you!

Five at Heart Ltd is now looking for a proactive and highly organised Project & Operations Coordinator to help drive the successful delivery of exciting construction projects across the UK. The successful candidate will work closely with the Head of Delivery, and you'll play a key role in keeping projects organised, suppliers coordinated, documentation accurate, and operations running smoothly from start to finish.

• Monday to Friday, 9:00am-5:00pm.

Key Responsibilities of the Project & Operations Coordinator role:

• Supporting the coordination of multiple live projects across the UK
• Managing project documentation, trackers, schedules and technical submissions
• Logging, tracking and following up on RFIs between design teams, clients and contractors
• Raising and tracking purchase orders through the ERP system
• Coordinating supplier orders, deliveries and site logistics, including booking haulage/transport for collections and deliveries
• Coordinating material and finish sample requests, approvals and dispatch
• Reconciling supplier invoices against purchase orders and supporting month-end payment runs
• Maintaining accurate project, procurement and compliance records, including supplier accreditations, SSIP and insurance documentation
• Tracking international shipments and order configurations with overseas suppliers
• Supporting communication between office teams, site teams, suppliers and clients
• Scheduling site visits and internal/client meetings
• Assisting with RAMS, handover packs and general project administration

Skills & Experience Required:

• Experience in project coordination, operations, or administration
• Construction, fit-out, or project delivery experience would be an advantage
• Highly organised with strong attention to detail
• Has previously used ERP systems, Google Workspace, and Microsoft Office to a high standard
• Experience managing purchase orders or procurement administration
• Strong communication skills and a collaborative approach
• Able to manage multiple priorities in a fast-paced environment
