Plan It UK is seeking a Project & Operations Coordinator to keep a busy residential design and project-management pipeline running smoothly from the office. You will coordinate Building Control and planning applications, liaise with surveyors and consultants, chase clients and authorities, and maintain project records.
You will also handle client calls, support designers, and manage invoices, budgets, and cash flow in Xero.
Plan It UK is a residential architectural design, engineering, and project management firm working across London, Kent, Essex and the surrounding areas. We help homeowners take extensions and loft conversions from initial idea through planning, building regulations and into construction — and we're looking for a Project & Operations Coordinator to keep that process running smoothly from the office.
This is a role for someone who thrives on organisation. You'll be the person making sure nothing falls through the cracks across a busy pipeline of residential projects — chasing the right people at the right time, keeping our records straight, and giving our design team the space to focus on design rather than admin.
Project coordination is the biggest part of the role: coordinating Building Control and planning applications, liaising with Party Wall Surveyors, SAP Assessors and other consultants, and chasing clients, consultants and Local Authorities to keep things moving. You'll monitor progress across live projects, keep on top of outstanding actions, and make sure project information and records are always up to date.
You'll also be a first point of contact for clients — answering calls, communicating clearly and professionally, and supporting our designers and project leads so the team stays organised and focused on delivering great design.
There's a financial administration side too: sending and chasing invoices, monitoring project cash flow, reconciling in Xero, and keeping an eye on budgets.
Day to day, you'll be maintaining trackers in Excel, spotting problems before they become problems, taking ownership of outstanding tasks, and looking for ways to make our administrative processes better.
We care far more about how you work than what you already know about construction. The technical side — how a Building Control application works, what a Party Wall Surveyor does — we'll teach you. What we can't teach is drive.
We're looking for someone who is:
Experience in construction, architecture, property or project coordination would be an advantage, but it's not essential — we're hiring for the person, not the CV.
This role also has real room to grow. As you build your knowledge of our projects and processes, there's a clear path toward a broader operations role for the right person.
