Job description

40 hours per week

Reporting to- Supply Chain Manager

Purpose

• To oversee and manage daily production scheduling across our Converting, Machinery, and Customer Support departments.

• This role plays a crucial part in ensuring smooth workflow between teams and clear, timely communication with customers for scheduling jobs.

• As the key point of coordination, you will balance internal priorities, customer timelines, and production capacity to keep projects moving efficiently and on time.

KEY RESPONSIBILITIES

Production Scheduling & Coordination

• Plan, schedule, and update daily and weekly production workflows across Converting, Machinery, and Customer Support teams.

• Ensure effective scheduling and planning, with a view to minimise costs, improve efficiency, and increase revenue and profitability in each department.

• Monitor job progress and adjust schedules in real-time to accommodate changes, delays, or urgent requests.

• Coordinate resources and capacity planning in collaboration with department leads.

• Ensure all departments are aligned with the latest production schedule and timelines.

Internal Communication & Liaison

• Act as the communication bridge between the Converting and Machinery teams, sales, customer support engineers, customers and the management.

• Communicate job statuses, potential bottlenecks, and schedule adjustments to all relevant stakeholders.

• Participate in daily/weekly planning meetings to report on progress and identify upcoming priorities.

Customer Interaction & Job Scheduling

• Contact customers to confirm job schedules, delivery timelines, customer visits, and resolve any conflicts or rescheduling needs.

• Respond to inquiries about order status and communicate any changes proactively and professionally.

• Ensure customer expectations are managed while protecting production efficiency.

Process & System Management

• Maintain accurate scheduling records and data entry.

• Support continuous improvement of scheduling processes and tools to improve reliability and responsiveness.

• Track KPIs related to on-time delivery, rescheduling frequency, and production efficiency.

SKILLS, KNOWLEDGE AND EXPERIENCE

• Proven experience in a production coordination, scheduling, or operations support role (2+ years minimum).

• Experience working in a manufacturing, packaging, engineering, or other technical B2B environment.

• Strong organisational and multitasking skills with a proactive mindset.

• Excellent communication and interpersonal skills for both internal collaboration and customer interaction.

• Comfortable working under pressure with shifting priorities and time-sensitive tasks.

• Familiarity with production or WMS systems, SAGE or similar, and Microsoft Office (especially Excel and Outlook).

Desirable:

• Background working with technical or engineering products and services.

• Experience coordinating multiple production departments.

• Knowledge of lean manufacturing principles or continuous improvement practices.
