About the role

A procurement administrator plays a critical role in supporting the procurement team and ensuring the effective management of corporate contracts and procurement processes. This position requires a detail-oriented professional who can provide comprehensive administrative support to streamline procurement activities. Key responsibilities include managing and organising procurement documentation, maintaining accurate records of contracts and processes, and assisting with the preparation of procurement documents. The procurement administrator also serves as a liaison between the procurement team, suppliers, and internal stakeholders, facilitating clear communication and efficient problem-solving. To be successful in this role, a procurement administrator must have strong organisational skills, attention to detail, and the ability to multitask in a fast-paced environment. They should also possess excellent communication and interpersonal skills to effectively collaborate with cross-functional teams and build strong relationships with suppliers.

What will you be doing?
  1. Providing administrative assistance to the Strategic Lead (SL) and wider procurement team.
  2. Responding to calls and emails, and managing communications to and from the Procurement inbox.
  3. Ensuring all correspondence received by the team is responded to promptly and appropriately.
  4. Assisting the procurement team in collecting, collating, and presenting various information, including drafting reports and presentations.
  5. Preparing information for meetings or presentations, researching background material, and seeking information from colleagues as necessary.
  6. Inputting and retrieving data on computer records related to service requests, enquiries, and actions associated with council contracts.
  7. Managing procurement processes on the online procurement system.
  8. Overseeing training for Council Officers.
  9. Managing document storage and implementing document and data control measures.
  10. Assisting with routine administrative and operational tasks, including purchasing, invoice preparation, financial record keeping, and liaising with suppliers and contractors.
  11. Supporting document and financial administration tasks, including ERP tasks and requisitions.
  12. Collecting, interpreting, and reviewing information to provide summaries to the team.
  13. Undertaking benchmarking and staying updated on legislative changes.
About you

Your application should demonstrate:

  • Excellent IT literacy skills, with experience using MS Excel, PowerPoint, Word, and Outlook.
  • Excellent verbal and written communication skills, including good telephone skills with a range of customers.
  • The ability to seek, retrieve, and collate information from various sources and make judgements.
  • Good planning and organisational skills to manage workload and meet deadlines, maintaining accurate records.
  • The ability to investigate and resolve queries, particularly from budget holders and the Senior Finance Business Partner.
