Job summary

Cardiff and Vale University Health Board is seeking an experienced Practice Manager to lead a two-site GP practice with 3 partners and 13,000 patients. You will drive day-to-day operations, staff development, governance, and financial sustainability, working closely with the GP Partners to deliver high-quality care.

The role requires strong IT skills, experience managing a large team, and knowledge of CQC standards, NHSE contracts, and PCN liaison.

Job description

We are looking for an experienced, organised and motivated Practice Manager to join our friendly two-site practice with 3 GP partners and 13,000 patients. The successful candidate will work closely with the GP Partners and practice team to ensure the smooth, efficient and financially sustainable running of the practice and play a key role in ensuring the effective day-to-day management and continued development of the practice. This is a varied role, requiring someone who is confident managing a large team, business operations, compliance, finance and contractual requirements with strong IT skills.   • Day-to-day practice management supporting the smooth and efficient running of the practice, ensuring excellent patient care and operational processes.
  • Staff management encouraging and supporting the team, promoting development and an inclusive team structure.
  • Compliance and governance overseeing practice compliance with relevant legislation, regulations, contractual requirements and CQC standards.
  • Claims and submissions managing practice claims and contractual submissions, creating searches and ensuring deadlines are met and information is accurate.
  • Finance supporting the financial management of the practice, including budgeting, monitoring expenditure and income, financial reporting and identifying opportunities for efficiency and sustainability. Bookkeeping is deal with by our accountants.
  • Business management Working closely with the Partners to support business planning and practice development. Monitoring contractual requirements and ensuring the practice meets relevant targets and deadlines., a) Oversee the management of the day-to-day operations of the practice, ensuring that staff achieve their primary responsibilities. b) Manage the HR processes, including recruitment, relevant checks, contractual issues, appraisals and staff performance. c) Workforce planning to ensure a good skill mix with staff having the appropriate level of training to enable them to carry out their individual roles and responsibilities effectively. d) Ensure employment law and legislation is adhered to. e) Liaise with the Primary Care Network (PCN) and locality commissioners, attend meetings and promote collaborative working. f) Provide support and advice to the partnership and keep them updated on practice matters. g) Keep up to date with developments and changes within primary care. h)Deal with the financial aspects of the practice including financial planning, forecasting etc. i) Manage the process for payroll and pensions, ensuring accurate reporting and timely submissions. j) Ensure the practice explores all opportunities to maximise income and reduce expenditure. k) Ensure Quality and Outcomes Framework (QOF) and commissioned service targets are met. l) Manage the significant event and complaints processes, in line with current legislation and guidance. m) Manage contracts and maintenance for services and equipment. n) Oversee the review and update of all practice policies and procedures. o) Lead and coordinate projects within the practice. p) Oversee the management of the practice IT system, including compliance with the Data Security Protection Toolkit (DSPT). q) Coordinate the practice development plan and business continuity plan. r) Assist in the preparation of business cases for new services and provide project management, as required. s) Ensure on-going CQC compliance. t) Ensure the practice maintains compliance with its NHSE contractual obligations. u) Provide advice and support to the staff and the partnership to ensure effective team working. v) Manage effective communication, both internal and external and ensure the website and other communication platforms are accurate and up to date. w) Facilitate partners and practice meetings and maintain an up-to-date action plan. x) Support the management of the Patient Participation Group. y) Manage estates and facilities, including health and safety aspects and risk assessments.
