Job description

A premium private healthcare practice based in the heart of Mayfair, London, providing personalised, relationship-led medical care with a strong focus on patient experience, discretion and responsive service.

The practice combines high-quality GP care with a concierge-style approach, supporting patients through consultations, diagnostics, specialist referrals, ongoing care and medical coordination. It’s a boutique environment where attention to detail, professionalism and a genuinely personal approach to patient care are highly valued.

About the Role

This is more than a traditional office or operations management role. As Practice Manager, you'll be a trusted deputy to the Practice Owner, overseeing daily operations, leading a team of six, managing finances and compliance, and ensuring the highest standards of patient care.

You'll combine strong organisational skills and sound judgement with a genuine passion for hospitality. From managing schedules and prioritising patient needs to supporting your team and keeping everything running behind the scenes, you'll play a key role in delivering an exceptional patient experience.

Key Responsibilities
  • Oversee the day-to-day running of the practice, ensuring operations are organised, efficient and running smoothly.
  • Manage diaries, appointments, schedules and resources, using sound judgement to prioritise patient needs and assess urgency.
  • Act as a trusted deputy to the Practice Owner, taking initiative, solving problems and keeping daily operations on track.
  • Lead and support a team of approximately six people, managing workloads, rotas, performance, training and day-to-day team needs.
  • Ensure patients receive a high level of personalised care, with excellent communication, attention to detail, discretion and timely follow-up.
  • Handle patient enquiries and concerns with empathy and professionalism, ensuring issues are resolved appropriately.
  • Oversee clinical administration, practice policies, compliance, governance, data protection and relevant healthcare regulations.
  • Maintain accurate records, staff documentation, training records and other essential practice information.
  • Manage financial administration, including invoicing, billing, payments, private medical insurance claims and financial reporting.
  • Monitor operational performance, identify opportunities to improve processes and support effective business decisions.
  • Coordinate with clinicians, external suppliers, insurers and other partners to ensure a seamless service.
  • Anticipate challenges, manage logistics and adapt to changing priorities in a busy, patient-focused environment.
What We're Looking For
  • Proven experience in practice management, healthcare operations, clinic management or a similar role.
  • Experience managing people, overseeing daily operations and handling competing priorities.
  • An understanding of healthcare compliance, clinical governance and data protection.
  • Experience with financial administration, billing, invoicing and reporting.
  • Strong organisational skills and excellent attention to detail.
  • Confident communication skills, with the ability to handle sensitive matters professionally and discreetly.
  • Good judgement and the ability to assess priorities, solve problems and make decisions independently.
  • A proactive, hands-on approach, with the confidence to take ownership and anticipate what needs to be done.
  • Flexibility and a willingness to adapt to the needs of an on-site practice.

Experience in private healthcare, concierge services, medical insurance billing or a premium hospitality environment would be a strong advantage.

The Ideal Candidate

We're looking for someone who combines operational excellence with a genuine passion for patient care.

You're organised, dependable and proactive, with the confidence to take ownership and keep things running without needing constant direction. You understand the importance of getting the details right, making sound decisions and supporting your team.

Most importantly, you recognise that exceptional healthcare goes beyond the clinical side. It's about making patients feel valued, cared for and supported at every stage.

Why Join?

This is an opportunity to take on a pivotal role in a growing private healthcare environment, working closely with the Practice Owner and helping shape the way the practice operates.

You'll have real responsibility, the opportunity to make a meaningful impact, and the chance to bring together your leadership, operational and hospitality skills in a role where the quality of the patient experience truly matters.

Salary & Location

£50,000–£65,000 per annum, depending on experience.

Location: Mayfair, London

A great opportunity to join a growing private healthcare business in one of London's most prestigious locations, with genuine scope to make an impact on the way the practice operates and develops.
