Job description

Practice Manager

HUM2N — multisite London

Where operational excellence meets the future of medicine.

HUM2N is a next-generation longevity and optimisation brand redefining what modern healthcare should feel like. Operating across two London sites, supported by remote telemedicine, and offering multiple speciality outpatient services, we blend advanced diagnostics, functional medicine, regenerative therapies, and physician‑led programmes into one seamless, precision‑driven system of care. Our mission is to uncover root causes, resolve dysfunction, and optimise long‑term human performance — using biology to understand your past and cutting‑edge science to transform your future.

As we scale our clinical programmes and offerings, we are looking for a Practice Manager who can uphold our clinical excellence, elevate the patient journey, and lead daily operations within one of the UK’s most advanced longevity clinics.

This role suits someone who thrives in fast‑paced environments, loves operational mastery, and wants to be part of a movement reshaping the future of medicine.

The Role

The Practice Manager is a central operational and clinical leader within HUM2N. You will ensure the clinic runs with precision, compliance is always met, teams are supported, and every patient receives a world‑class experience.

You will be the operational anchor — the person who ensures every room, system, clinician, and process is ready to perform at the highest standard.

Key Responsibilities
1. Clinic Operations & Compliance
  • Lead all daily clinic functions: staff rotas, Pabau scheduling, courier logistics, and front‑of‑house operations.
  • Ensure a frictionless, premium client journey from first touchpoint to follow‑up.
  • Oversee operational systems including cash handling, refunds, and clinical equipment checks (Cryotherapy, HBOT, IV Lab, Aesthetic Devices).
  • Manage inventory for clinical use and coordinate test kit logistics.
  • Maintain strict compliance with CQC, Health & Safety, COSHH, infection control, risk assessments, audits, and GDPR.
  • Act as first‑line escalation for operational, facility and IT issues.
2. Clinic Presentation & Service Excellence
  • Maintain a consistently high standard of cleanliness, presentation, and ambiance throughout the lounge.
  • Develop processes that uphold HUM2N’s premium, luxury clinical experience.
  • Ensure full regulatory and safety standards are adhered to at all times.
3. Team Leadership & HR Management
  • Lead and develop the Clinic, Business Manager and Health Programmes administrative teams.
  • Conduct performance reviews, set KPIs, and run regular team 1:1s.
  • Oversee onboarding, handovers, rota planning, sickness/leave monitoring.
  • Support recruitment and maintain strong team culture and engagement.
4. Governance, Clinical Compliance & CQC
  • Maintain and update SOPs and operational manuals.
  • Lead CQC readiness, internal audits, risk‑register management, and infection‑prevention protocols.
  • Manage practice privileges, room rentals, insurance, and ICO registration.
  • Handle clinical governance matters: incidents, complaints, patient feedback, and significant‑event reviews.
  • Drive continuous improvement initiatives aligned to achieving an “Outstanding” CQC rating.
5. Systems & IT Administration
  • Serve as a super‑user for Pabau, HubSpot, and Microsoft 365.
  • Manage service templates, consent forms, and core system configurations.
  • Troubleshoot IT issues and coordinate with external vendors for resolution.
  • Maintain operational email channels and system hygiene.
6. Strategic Reporting & Business Support
  • Lead weekly operations and governance meetings.
  • Report on KPIs, clinical utilisation, plan conversions, treatment turnarounds, and operational performance.
  • Maintain vendor relationships and oversee contract renewals.
7. Quality of Care
  • Monitor care‑delivery standards, patient satisfaction, and service continuity.
  • Support the delivery of a seven‑day clinical service with coordinated enquiry coverage.
8. Clinic Optimisation & Resource Allocation
  • Analyse clinician workloads and department capacity to optimise schedules.
  • Prevent clinician burnout through proactive resource planning.
  • Align service offerings with peak demand and profitability insights.
9. Pop‑Up Clinics & Satellite Support
  • Support the Sales Director in ensuring pop‑up clinics operate at HUM2N’s required clinical and operational standards.
10. Health Programmes Leadership & New Service Development
  • Collaborate with clinical leadership to design and launch new health‑programme services, ensuring operational readiness and smooth implementation.
  • Own weekly and monthly reporting on programme performance, clinician activity, and patient milestones.
  • Provide operational insights to support programme improvement.
  • Support resident and visiting doctors to ensure clinical compliance, documentation accuracy, and operational alignment.
  • Oversee rota management for Naturopathic Therapists (NTs) to ensure appropriate coverage.
  • Maintain up‑to‑date privilege agreements for clinicians and external providers using HUM2N facilities.
  • Provide operational and clinical oversight across all programme delivery touchpoints to ensure high standards of safety, experience, and compliance.
Qualifications & Skills
  • Bachelor’s degree in healthcare management, business administration, or similar.
  • Minimum 3 years’ experience managing a healthcare clinic or facility — ideally within functional medicine, private healthcare, wellness, or aesthetics.
  • Deep understanding of CQC, COSHH, and healthcare regulatory frameworks.
  • Proven leadership skills, with experience managing teams in clinical environments.
  • Excellent communication skills with a strong service orientation.
  • Financial awareness: budgeting, forecasting, daily reconciliations, supplier management.
  • Proficient in Pabau, HubSpot, and Microsoft 365 (or similar systems).
  • Passion for functional medicine, personalised care, and the future of health optimisation.
