Job summary

CVS Vets in Kilmarnock is seeking a Veterinary Receptionist to join a busy practice. This part-time role (20 hours) offers a friendly team, development opportunities and a pathway through CVS Vets’ Receptionist Careers Pathway.

You will manage calls, appointments, greet clients, handle insurance forms and process payments while delivering empathetic, professional service in a welcoming environment. Salary aligns with National Minimum Wage; five weeks leave pro rata and staff discounts.

Qualifications

• Previous reception or client-facing experience is required.
• Experience in veterinary settings is a bonus.
• Excellent communication and empathy when handling distressed clients.
• Proficient with Microsoft Office and database systems.

Responsibilities

• Handle incoming calls and schedule appointments.
• Respond to queries via phone, email and in-person interactions.
• Greet and register new clients, ensuring a warm welcome.
• Process and manage insurance forms adeptly.
• Dispense medications as required.
• Process payments accurately and efficiently.
• Provide empathy and understanding to clients during distressing times.
• Organise patients using the in-house system.
• Liaise with veterinary practices to address patient needs.
• Make necessary phone calls regarding debts, belongings and refunds.
• Ensure that every client feels welcomed and valued.
