About the Role:
We are hiring a
Personal & Executive Assistant to support the Founder / CEO of a successful UK immigration law firm. This is a unique, high-trust role blending
personal life management with
business coordination.
You will serve as a gatekeeper, organiser, and support system, ensuring the Founder remains focused, energised, and free to do his highest-value work. From managing his diary and inbox to planning events and protecting his time, your role is to
run the life of the leader.
Key Responsibilities:
Personal Life Support (approx. 40%)
- Manage personal diary, errands, weekend plans, and lifestyle logistics
- Book experiences, events, restaurants, and wellness activities
- Coordinate personal shopping, home admin, and family-related tasks
- Occasionally drive the Founder (UK licence preferred or willingness to obtain one)
- Protect "no-tech" and focus blocks — act as a calm and structured buffer
Executive Business Support (approx. 60%)
- Manage inboxes, filter messages, liaise with internal teams and clients
- Use ChatGPT and other AI tools to help draft, research, and manage ideas
- Take notes from voice memos and meetings, convert into tasks and follow-ups
- Coordinate meetings, calendar planning, travel, and day-to-day admin
- Liaise on the Founder /CEO's behalf — always representing with clarity and professionalism
Requirements
Skills, Qualifications & Experience - What You Must Bring
To be successful in this role, you must
already possess the following:
- Minimum 3 years' experience in a personal or executive assistant role — ideally supporting a high-performing entrepreneur, CEO, or founder
- Proven ability to manage complex diaries, inboxes, travel, and logistics with precision and independence
- High emotional intelligence — able to read energy, moods, and act with empathy, calmness, and discretion
- Strong written and verbal communication skills — clear, thoughtful, and professional tone across all formats. Familiarity with UK cultural norms and communication etiquette
- Excellent organisational and follow-through skills — Excellent follow-through and ability to self-manage tasks
- nothing slips through the cracks with you
- Highly proactive mindset — you anticipate needs, solve problems before they arise and take initiative without needing to be told
- Familiarity with UK cultural and professional norms
- Tech fluency — confident using Gmail, Google Calendar, WhatsApp, Trello, Notion and ChatGPT or similar AI tools
- Spiritually grounded or growth-minded — value inner clarity as well as outer order
- Comfortable working in a hybrid personal/professional support role — this is not just a desk job
- Ideally holds a UK driving licence or is fully committed to obtaining one promptly
Location & Flexibility:
This is
not a remote job. You must be fully flexible to work between:
- Founder's residence office in Coulsdon, South London
- Central London office
Work rhythm will follow the Founder's needs, not fixed hours or locations.
Commitment & Mindset:
We are seeking someone who values
loyalty, consistency, and long-term contribution — ideally, committing to this role for
3-5 years. This is
not a stepping-stone position for quick progression or title changes.
