Job Overview
The Personal Assistant (PA) will provide comprehensive administrative support to the CEO and main board directors. This role involves managing diaries, coordinating meetings and travel, handling correspondence, and supporting internal processes and special projects. The ideal candidate will be a strong communicator, experienced in working with high-level executives, and adept at handling sensitive and confidential information. The PA will regularly interact with investors and board members, requiring professionalism and discretion.
Main Responsibilities
- Manage an active calendar of appointments and meetings, both internal and external.
- Handle emails and correspondence, determining appropriate responses and actions.
- Collaborate effectively with team members to keep them informed of upcoming commitments and follow up as needed.
- Research and prioritize issues, including sensitive matters, ensuring timely follow-up.
- Facilitate smooth communication with board members, investors, clients, and suppliers.
- Organize investor roadshows, including planning and logistics.
- Oversee the annual calendar of meetings and internal processes.
- Coordinate meeting logistics, travel arrangements, and equipment requirements.
- Organize internal and external events, such as team away days and client/partner events.
- Process invoices and expenses accurately.
- Maintain paper and electronic filing systems.
- Manage and monitor key internal processes.
- Draft and prepare confidential correspondence and reports.
- Arrange complex travel itineraries for UK and overseas trips.
- Provide background information to prepare the team for meetings.
- Prepare reports and presentations for internal and external use.
- Support company secretary duties, including board communications.
- Provide ad-hoc personal PA support as needed.
Qualifications and Experience
- Graduate calibre education.
- Previous experience as a PA for a main board director.
- Proven ability to prioritize, plan, and meet deadlines.
- Experience preparing reports and presentations.
- Proficiency with MS Outlook, Word, Excel, PowerPoint, and other relevant systems.
