Job description

Job Opportunity: Personal Assistant

We have an opening for a Personal Assistant to join our Executive PA Support department on a 12-month fixed-term contract at Tokio Marine Kiln. You will provide secretarial and administrative support to the Group Head of Distribution and Departmental Heads of Underwriting, along with their teams.

The role includes responsibilities such as:

  1. Organising extensive travel plans, including flights, hotel bookings, and itineraries.
  2. Co-ordinating the preparation of committee papers and ensuring deadlines are met.
  3. Maintaining accurate records of holidays, sickness, and absences.
  4. Arranging meetings, preparing necessary paperwork, and updating diaries.
  5. Handling external and internal calls and enquiries.
  6. Processing and recording expenses.
  7. Providing cover for other EAs/PAs during absences.
  8. Using initiative to take appropriate actions.
  9. Managing schedules, organising meetings, venues, and catering.
  10. Disseminating information as required.

The ideal candidate will have a strong knowledge of Microsoft Office (Word, Excel, Outlook, PowerPoint), experience managing multiple diaries, and a typing speed of over 65wpm. Demonstrable personal assistant experience at an executive level within the insurance or financial services sector is desirable. Excellent communication, minute-taking, organisational skills, and confidentiality are essential, as you will handle sensitive information at senior levels.
