If you are an experienced, highly organised Personal Assistant looking for a new opportunity, we are recruiting for someone to support three Partners in our vibrant London office. This is a trusted and visible role at the heart of a growing business, giving you the opportunity to build strong relationships with senior leaders, clients and colleagues while helping the Partners focus on their strategic and client priorities.
You will provide proactive, high-quality support, taking ownership of complex diaries, inboxes, meetings, travel, events and follow-up actions. You will anticipate priorities, resolve conflicts and act as a trusted gatekeeper, bringing structure and momentum to a fast-paced working environment. The role also includes practical support for the wider London office where needed.
Key Responsibilities
- Manage complex diaries proactively, prioritising meetings and protecting time for preparation, travel and key deadlines.
- Triage inboxes, draft routine correspondence and ensure urgent or sensitive matters are escalated appropriately.
- Act as a trusted first point of contact and gatekeeper for clients, colleagues and external stakeholders.
- Prepare daily and weekly schedules, briefing notes, correspondence, reports, presentations and meeting packs to a high professional standard.
- Coordinate meetings, including agendas, papers, minutes where required, action logs and follow-ups.
- Track commitments and deadlines, prompting action and helping the Partners maintain momentum across priorities.
- Arrange UK and international travel, accommodation, detailed itineraries and attendance at conferences or industry events.
- Process expenses, invoices, purchase orders and other approvals accurately and promptly.
- Maintain organised contact lists, confidential records, electronic filing systems and document version control.
- Anticipate upcoming commitments, key dates, renewals and business priorities.
- Handle confidential information with sound judgement and absolute discretion.
- Provide appropriate cover for other PAs or administrative colleagues during periods of absence.
- Events, people and office coordination
- Plan internal and client events, including an annual hosted event for approximately 100 guests, liaising with venues, suppliers and attendees.
- Welcome visitors and help maintain a professional, well-organised office experience.
- Coordinate interview logistics and support onboarding and induction arrangements in partnership with the Talent Acquisition and People teams.
- Support governance processes, maintain action logs and manage sensitive documentation.
- Build effective relationships across the business and provide cover or wider administrative support when priorities require it.
What you will bring
- Proven PA or EA experience supporting senior business leaders.
- Excellent organisation, judgement and time management, with the ability to balance competing priorities.
- Strong written and verbal communication, with meticulous attention to detail.
- Confidence managing multiple diaries, inboxes, meetings and stakeholders.
- Advanced Microsoft 365 skills, particularly Outlook, Word, PowerPoint, Excel, Teams and Copilot.
- A discreet, trustworthy and collaborative approach, with a strong service mindset.
- Resilience, adaptability and a calm, practical approach to problem-solving.
- Experience in a professional services sector ie: property, construction, financial or similar.
