Job description

The Role

The payroll administrator is responsible for completing the payroll process on a weekly and monthly basis for all employees. Key responsibilities include:

  1. Running weekly and monthly payrolls, ensuring all information is accurate at the time of payment.
  2. Sending agency hours to the agency using the correct timesheets weekly.
  3. Maintaining employee records in TMS, Sage, or other applicable systems.
  4. Entering new starters into payroll and recording leavers correctly.
  5. Scanning and filing all payroll paperwork appropriately.
  6. Recording holidays and sickness accurately in TMS.
  7. Adding new agency starters, assigning them to the correct department, site, and manager.
  8. Updating badge number spreadsheets and tax codes, payroll deductions, or student loan information from HMRC.
  9. Posting payroll journals into the ERP system weekly, including intercompany journals.
  10. Producing P45s for employees leaving the company.
  11. Ensuring RTI updates and E submissions are sent to HMRC weekly.
  12. Submitting P32s to the accounts department for payment processing.
  13. Sending payroll reports and information to the accounts department.
  14. Signing off agency invoices, coding hours to the correct site, and updating agency cost analysis.
  15. Updating variations and wage increases in TMS and Sage.
  16. Managing pension schemes, including auto-enrollment and company pensions, preparing reports, and submitting payments.
  17. Calculating SMP, SPP, AOE, DWP, and CSA payments.
  18. Handling payroll queries and wage corrections.
