The Patient Access Team Leader will manage and coordinate a small, specialty-specific booking team to ensure the provision of efficient, effective, and quality services within a defined specialty and across other services along the patient’s pathway. The post holder will be responsible for ensuring patients receive timely access to outpatient departments and inpatient/day case treatments.

The post holder will manage data quality across service areas, ensuring accurate 18-week activity data is routinely captured on information systems, including PAS/SystemOne in real-time. They will correct any data inaccuracies, identify, address, resolve, and correct process issues that may extend beyond their own service areas.

The post holder will facilitate data collection for audit purposes and routinely validate 18-week information to identify process or system issues, ensuring solutions are implemented across services.

Responsibilities include:

  1. Maintaining a professional appearance in line with the Trust dress code.

  3. Maintaining professional and courteous relationships with staff, respecting diversity and equality.
  4. Upholding patient privacy and dignity at all times.

Key requirements

  1. Coordinating the work of a defined booking team, managing workload, and escalating issues as necessary.
  2. Resolving staff issues, liaising with HR when necessary.
  3. Providing trust team briefings and ensuring staff are aware of procedures and policies.
  4. Managing annual leave, sickness, and other absences.
  5. Participating in recruitment, training, appraisals, and discipline of staff.
  6. Identifying and recommending improvements in working practices.
  7. Maintaining leave records and acting as signatory for timesheets.
  8. Ensuring team training in IT systems relevant to the service area.
  9. Conducting annual performance reviews.
  10. Monitoring waiting times and managing inpatient, outpatient, and diagnostic waiting lists.
  11. Monitoring patient journey times and data input accuracy.
  12. Collaborating with diagnostics and specialty staff to optimize capacity and efficiency.
  13. Keeping up-to-date with waiting time targets and managing staffing impacts on clinics and theatre lists.
  14. Investigating service improvements and capacity inequities across sites.
  15. Ensuring timely and accurate information sharing about waiting lists, maintaining confidentiality.
  16. Participating in control tower meetings and supporting operational functions.
  17. Monitoring patient experience and assisting in complaint investigations.
  18. Implementing and reviewing Trust policies across all sites.
  19. Producing reports and supporting performance reviews.
  20. Supporting the Access Booking & Choice Team to meet objectives.
  21. Performing any other duties as delegated to support service development.
