MKTG is seeking a PA and Senior Team Assistant to predominantly support the Managing Director and assist the Senior Leadership Team. You will manage diaries across time zones, coordinate travel, and support meetings, events, and company operations in London.

Qualifications

Responsibilities

  • Provide proactive administrative and coordination support.
  • Manage diaries and meetings across regions and time zones.
  • Act as a trusted point of contact with professionalism and discretion.
  • Organise meeting logistics including rooms, AV/IT support, refreshments, and agendas.
  • Support preparation of meeting materials and follow up on actions.
  • Raise POs for key stakeholders as required.
  • Welcome and coordinate external clients and visitors.
  • Assist with onboarding of new joiners and HR training.
  • Prepare/format presentations, documents and reports; assist with company offsites.
  • Manage email distribution lists.
  • Arrange domestic and international travel and visas for Senior Management.
  • Create travel itineraries and manage travel bookings and expenses.
  • Support office management and events; maintain tidy workspace and office supplies.
  • Contribute to planning and delivery of internal and external events.

We are looking for a PA and Senior Team Assistant to predominantly support the Managing Director alongside assisting members of the Senior Leadership Team where required, and supporting on wider business initiatives, providing high-quality administrative, organisational, and coordination support. The PA and Senior Team Assistant acts as a trusted partner—managing diaries, ensuring seamless travel and logistics, and supporting the smooth running of meetings, office activity, and key business events. This is a varied role with exposure across senior stakeholders, offering the opportunity to contribute to team culture, internal events, and presentation preparation. This role will report into the Managing Director and is based in London.

Responsibilities

Managing Director Support:

  • Provide proactive administrative and coordination support
  • Manage diaries and meetings across regions and time zones
  • Act as a trusted point of contact, handling correspondence with professionalism and discretion
  • Organisemeetinglogisticsincluding rooms, AV/IT support, refreshments, and agendas
  • Support preparation of meeting materials and follow up on actions whererequired
  • Raise PO’s where required for your key stakeholders

Wider business support:

  • Welcome and coordinate external clients and visitors
  • Work with HR and managers to support with the onboarding of new joiners, ensuring a smooth onboarding experience
  • Work with HR to organise and book company training
  • Assistwith the preparation and formatting of presentations, documents, and reports and company offsites
  • Manage email distribution lists

Travel & Expenses:

  • Arrange domestic and international travel, including visas whererequiredfor the Senior Management Team
  • Create clear and detailed travel itineraries
  • Manage travel bookings and expenses efficiently

Office & Events Support:

  • Support office management activities as needed
  • Ensure our workspace is tidy and fit for purpose, including management of office supplies
  • Assistin the planning and delivery of internal and external events
  • Contribute to creating a positive and well-organisedworking environment

  • Strong diary management skills across multiple time zones

Qualifications And Skills
  • Experience in a similar role, either as a Team Assistant, PA or Office Manager.
  • Computer literate, with strong knowledge of all Microsoft packages.
  • High degree of numeracy, literacy and problem-solving skills.
  • Be able to exercise sensitivity, tact and diplomacy when providing administrative support.
  • Excellent Communication skills.
