We are seeking an Operations Executive for our Flexforce team to join us on a 'Hybrid' basis at our Head Office in Central Woking (parking is provided, or for train travelers, we are right next to the train station!). This role involves working full-time in the office three days a week, offering a balance between on-site and remote work.

Acosta Europe's Flexforce team is the UK’s largest dedicated data-driven tactical agency. You will collaborate to achieve operational excellence across all client activities, driving high standards of field performance, insightful reporting, and targeted revenue and profit.

Main Purpose of the Role

The Operations Executive is central to administrative processes within Flexforce. We are committed to delivering first-class support to our teams and clients, aiming for operational excellence and continuous skill development aligned with client and business needs.

Key Tasks and Responsibilities

Administration

  • Manage activity booking sheets according to internal processes.
  • Create POS matrices to ensure timely and accurate deliveries.
  • Develop activity briefs to clarify objectives and expectations for in-store campaigns.
  • Oversee booking sheet templates and weekly activity emails for subcontractors.
  • Administer rate cards, travel payments, and completion fees.

Technical

  • Build scripts accurately in internal software to optimize client outcomes regarding precision and quality.
  • Support inbound queries related to reporting via the internal system.
  • Compile photo reports in PowerPoint and download images from the system.

Quality Control

  • Review photographic images for relevance, adherence to briefs, and quality standards.
  • Identify anomalies in data downloads and escalate as needed.

Client Communication (if applicable)

  • Serve as the first point of contact for operational client queries.
  • Manage client operational requirements effectively.

Strategic Direction

  • Contribute to shaping the strategic direction of the account and business.
  • Review and propose process improvements.

Other Requirements

  • Minimum of one field visit and one meeting per month.
  • Follow company policies and procedures, available on the intranet or via HR.
  • Take responsibility for complying with Health & Safety Regulations.
