Job Title: Operations Executive

Reporting to: Operations Manager

Main purpose of role:

The Operations Executive plays a central role in the administrative processes within each account. We are committed to providing first-class support to our teams and clients, aiming to meet and exceed their needs. Our goal is operational excellence and continuous skill development aligned with client and business needs.

Key Tasks and Responsibilities:

  • Administration & Data Management: Daily download of retailer sales data, management of master data, forwarding enquiries, maintaining attendance logs, covering reception, supporting holiday cover, assisting field managers with bookings.
  • Technical Support: Loading scripts per client objectives, managing software issues via Service Now, testing updates, and communicating changes.
  • Fleet Management: Main contact for fleet queries, maintaining driver/vehicle lists, booking hire cars, liaising on accidents, coordinating IT equipment.
  • Call file Management: Managing call details, supporting call file changes, using Geoplan territory planning tool.
  • Reporting: Generating basic reports, exporting data, and creating visual representations.
  • Account Briefing Support: Producing activity briefs, preparing visual aids, and updating relevant systems.
  • Client Communication: Acting as first contact for operational queries and managing client requirements.
  • New Business Support: Assisting with new projects.
  • Client Review Presentations: Building quarterly presentations, analyzing operational data, creating PowerPoint reports.
  • Financials: Handling fuel reconciliations, expenses, credit card reconciliations, and payroll deadlines.
  • Strategic Direction: Contributing to strategic planning and process improvements.
  • Other Requirements: Field visits, policy adherence, health & safety compliance, personal development, GDPR compliance.
