(Office Manager and PA, operations, Team support) - Leading Marketing Agency London - City

Looking for strong PA skills (Email , diary management mainly to Directors) along with Office admin/ Management

A background in a B2B Agency would be great.

Hybrid (3 days office / 2 days home)

Just under 100 staff in the City of London.

Office Manger / PA

A global marketing agency who help agencies and B2B businesses start, nurture and convert at every stage of the funnel.

A SNAPSHOT OF THE ROLE

This is a new role within the business and a great opportunity for someone who likes variety, is very organised and being a key part of the business.

Executive Support to the CEO – email management, diary management, travel management

Team travel bookings

Organising team events and team nights

Organising summer parties and Christmas parties

IT set-up & ordering new laptops

IT support for the business including managing the company Office 365 and Google accounts

Manage office maintenance & day to day issues (across all 2/3 floors of the office)

Manage relationship with office cleaner

Answer the phone

Meet and greet visitors to the office and ensure they’re taken care of an have drinks etc

Manage the hiring of the office space to external guests for meetings / days that we’re not in the office

Arrange Birthday cakes and cards for team members

Recruitment support – scheduling interviews with shortlisted candidates, meeting room booking

General data entry, typing and presentation creation

Scheduling team training sessions, booking meeting rooms

Scheduling monthly internal client meetings

Proposal creation

Marketing support to the Marketing Director including social media, website maintenance and event management

Update the monthly target board

Preparing contracts : Often very standard until the revisions come back.

Once a new client has been won - preparing the kick off email with all the docs for the teams internally to get started working on it

Meeting minutes, meeting follow up and ensuring next actions happen

Managing team requirements - what needs to happen and by when. Preparing the documents so it's all in one place to review and action

Ordering Amazon & Office Supplies

Sainsbury’s & bar ordering

HYBRID WORKING

They work really closely together in multi-discipline teams internally, so it’s important to them that you spend time together and are able to be creative and collaborate in real life, not just over screens. They work in the office Mon, Wed and Fridays.

EXPERIENCE:

2 years+ in an Office Management/ PA/ team support based role

Background in Agency , B2B , Marketing a big plus

Must be able to work in London 3 days a week

A do-er, organised, personable and keen to be at the heart of the business
