Job description

Job Summary

We are seeking a highly organised and proactive office manager to oversee the smooth day-to-day running of our office operations. The ideal candidate will have strong IT skills, experience using procore software, and a solid background in coordinating bids, tenders and PQQs. This is a key role supporting the operational and commercial teams.

Key responsibilities

  • Manage general office administration and ensure efficient office operations
  • Supervise administrative staff and delegate tasks as required
  • Coordinate schedules, meetings and appointments for staff and management
  • Handle incoming communications including emails, phone calls and mail
  • Maintain and update project documentation using procore
  • Support tender and bid processes, including completing pqqs and coordinating submission materials
  • Support senior management with reports, presentations and project coordination
  • Liaise with clients, subcontractors and suppliers on administrative matters
  • Support project managers and directors with scheduling, document control and communications
  • Maintain databases, filing systems and contact lists
  • Assist with onboarding new staff and maintaining HR records
  • Monitor and order office supplies and liaise with external service providers
  • Ensure office compliance with health & safety procedures and documentation

Requirements

  • Proven Experience in an office management or senior admin role within construction or a related industry
  • Strong IT skills including ms office suite (word, excel, outlook)
  • Excellent written and verbal communication
  • Ability to multitask and adapt in a fast-paced environment
  • High level of discretion and professionalism
  • Proficiency in procore is a big advantage
  • Experience managing bids, tenders and pqqs
  • Excellent organisational and time management skills
  • Strong communication and interpersonal skills
  • Ability to work independently and take initiative
  • Attention to detail and accuracy

Desirable

  • Experience working in the construction industry
  • Knowledge of document control systems and other construction management software
  • Salary competitive dependent on experience
