Role Purpose

This role reports to the Head of HR and serves as a key contact for managing daily office operations, ensuring a seamless and efficient office experience. It involves providing support to teams, including facility management, corporate travel, wellbeing, and employee experience, while maintaining high standards of customer service and adherence to Aesop's culture and brand guidelines. The role requires excellent communication skills, attention to detail, and the ability to foster strong relationships.

The position also oversees two office coordinators, providing guidance and support.

This is a full-time, office-based role from Monday to Friday.

Main Responsibilities
  • Implement and maintain office procedures and policies for smooth operations, including sourcing materials and managing reception functions.
  • Ensure physical maintenance of the UK office, meeting OH&S standards, and safeguarding the building and staff security.
  • Develop processes for storing company intellectual property and understand departmental requirements.
  • Coordinate internal communications and organize meetings and events.
  • Assist in onboarding and training new staff on office protocols.
  • Foster relationships across divisions and manage budgets related to entertainment, travel, and gifts in European offices.
  • Mentor European office teams.
Management Assistance
  • Assess and improve the effectiveness of office administration.
  • Provide monthly attendance reports to HR.
  • Manage internal communications within London teams.
Reception and Administration
  • Ensure reception coverage from 8 to 6.
  • Maintain meeting rooms and greet visitors.
  • Manage deliveries, office supplies, mail, and maintain confidentiality and filing systems.
  • Coordinate with the Office Building Team and handle external errands.
  • Organize staff celebrations and update office displays and calendars.
Office Culture
  • Manage daily opening and closing procedures and maintain office ambiance.
  • Coordinate suppliers and manage stock levels.
  • Lead office enhancement projects.
Candidate Profile

  • Proficient in Microsoft Office and capable of managing tasks independently.
