Job summary

Rapport Guest Services is seeking an Office Experience Coordinator for a brand-new London office. You’ll be the heartbeat of the workplace, welcoming visitors, supporting employees and contractors, and ensuring the front-of-house runs smoothly with warmth and professionalism.

You’ll use a Mac and Google tools daily, coordinate schedules and facilities, respond to enquiries, and build positive relationships across teams and client groups.

Responsibilities

  • Welcoming visitors, employees and contractors with warmth and professionalism.
  • Managing the front-of-house experience and keeping the office looking its best.
  • Handling enquiries in person, on the phone and via email.
  • Managing visitor arrivals, verification and access.
  • Supporting visitors throughout their time in the building and guiding them where to go.
  • Building positive relationships with employees, visitors and client teams.
  • Using Mac, Gmail and Google Calendar daily as part of work.
  • Staying up to date with office facilities, services and building information.
  • Responding quickly to requests and following through to resolution.
  • Collaborating with colleagues and other teams for a seamless workplace experience.
  • Identifying issues early and finding practical solutions.

Office Experience Coordinator

Brand-new office | Fast-paced environment | Professional, friendly cultureWe’re looking for a confident and tech-savvyOffice Experience Coordinator to join our team at a brand-new office for one of Rapport’s prestigious clients. This is a great opportunity for someone who enjoys being at the heart of a busy workplace. You’ll help create a welcoming, well-organised environment for employees, visitors and contractors, while making sure the day-to-day office experience runs smoothly. The environment is professional but friendly, so we’re looking for someone who can bring warmth and personality while maintaining high standards.

Contract: Full-time, Permanent

Hours: 40 hours per week, Monday–Friday, on a shift rota between 8am and 5pm

Salary: £34,590 per annum

What you’ll be doing

Every day will be a little different. You’ll be the person people can rely on to keep things moving, whether that’s welcoming a visitor, answering a question or helping resolve an issue. Your responsibilities will include:

  • Welcoming visitors, employees and contractors with a warm and professional approach.
  • Managing the front‑of‑house experience and ensuring the office always looks its best.
  • Handling enquiries in person, over the phone and via email.
  • Managing visitor arrivals, verification and access.
  • Supporting visitors throughout their time in the building and making sure they know where they need to go.
  • Building positive relationships with employees, visitors and client teams.
  • UsingMac, Gmail and Google Calendar confidently as part of your everyday work.
  • Keeping up to date with office facilities, services and building information.
  • Responding quickly to requests and taking ownership through to resolution.
  • Working closely with colleagues and other teams to deliver a seamless workplace experience.
