Job summary

Police Care UK, based in Woking and serving nationwide, seeks an Office Assistant to support the Executive Officer and Governance Support in admin and operations. You will help implement and maintain systems, handle enquiries, and support meeting logistics and records management, as part of a responsive, values-led team.

You will contribute to onboarding/offboarding, stock control, and general administration with a proactive, detail‑oriented approach.

Qualifications

  • Experience using Microsoft Office including Excel.
  • Ability to develop and maintain office processes.
  • Confidence with computers and office software.
  • GCSE Math and English at grade 4 or higher.
  • Excellent time management and strong attention to detail.
  • Ability to multitask and work both independently and in a team.
  • High standards of confidentiality.
  • Willingness to undertake extra training when required.

Responsibilities

  • Greet visitors, manage parking, and control entry passes.
  • Answer general enquiries via inbox and phones.
  • Set up meeting rooms with drinks, papers and tech.
  • Assist with basic IT fixes and office queries.
  • Keep the office clean, tidy and organized.
  • Monitor stationery stock and place orders.
  • Maintain printers and arrange repairs with the landlord.
  • Book meeting rooms and manage booking systems.
  • Support onboarding and offboarding of staff.
  • Handle post, printing, scanning, shredding, and disposal.

About the Role

As our Office Assistant, you'll work in collaboration with the Executive Officer and Governance Support to support the operational and resource functions of the organisation. You will play a key role in ensuring that organisational systems and processes are implemented and maintained and that the administrative needs of the organisation are met. In keeping with the needs of a period of change and the charity values, you will be flexible and have a can‑do attitude.

Role Responsibilities
  1. Greeting visitors, organising parking spaces and controlling office entry passes.
  2. Answering and fielding correspondence in the general enquiries' inboxes.
  3. Answering the phone, phone setup and management of the phone system.
  4. Setting up meeting rooms e.g. drinks, papers and presentations/tech etc.
  5. Assisting with office queries such as basic IT fixes and other office‑related issues.
  6. Ensuring the office is clean, tidy and organised.
  7. Monitoring stock levels of stationery and refreshments and placing orders as needed.
  8. Maintaining office machines such as printers, arranging maintenance and repairs and reporting issues to the landlord.
  9. Booking meeting rooms and maintaining the office booking systems.
  10. Assisting the Corporate Support team with onboarding and offboarding of staff.
  11. Post management, printing and scanning documents. Confidential shredding of documents and disposal of equipment.
  12. Data entry such as maintaining logs and inventories
  13. Assisting with the reorganisation and maintenance of filing systems.
  14. General administration and clerical production.
Role Requirements
Essential
  • Experience in Microsoft office including excel
  • Experience in developing and maintaining office processes
  • Confidence in computer use
  • GCSE level 4 in Math and English
  • Computer literacy
  • Excellent time management skills
  • Strong attention to detail
  • Ability to multitask
  • Strong planning and organising skills
  • Enthusiastic, self‑motivated, flexible and able to work on own initiative
  • Ability to work both independently and collaboratively as part of a team.
  • High standards of confidentiality
  • Willingness to undertake extra training when required.
